Job Description
Core4ce Administrative Assistant-Talent Acquisition Team 806-383 We are seeking a highly organized and proactive Administrative Assistant to support our Talent Acquisition team working within the cleared federal contracting sector . This individual will play a vital role in coordinating administrative and operational activities to ensure seamless recruiting workflows for security-cleared roles across multiple government programs. This is an excellent opportunity to support mission-critical hiring while gaining exposure to cleared recruiting processes in the defense and intelligence community.
Key Responsibilities:
Provide day-to-day administrative support to the Talent Acquisition team, including calendar management, meeting coordination, and document preparation . Schedule and coordinate interviews between candidates and hiring teams, including virtual, phone, and on-site meetings. Assist with applicant tracking system (ATS) data entry, job postings, candidate communications, referral tracking, and report generation. Maintain confidential candidate and clearance information in compliance with security and privacy regulations . Prepare TA-related reports, dashboards, and recruiting status updates for leadership as requested. Help manage candidate travel logistics for interviews (if applicable). Support job fairs and recruiting events by preparing materials, managing logistics, and assisting onsite (if required). Assist with vendor coordination, invoice processing, and supplies ordering for the TA team. Contribute to team process improvements and recruiting operations initiatives.
Qualifications:
High school diploma or equivalent required ; Associate’s or Bachelor’s degree preferred. 2+ years of administrative experience , preferably in a government contracting, HR, or recruiting environment. Familiarity with security clearance protocols (e.g., Secret, TS, TS/SCI, CI or FSP) or prior experience supporting cleared programs is strongly preferred. Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms (e.g., MS Teams, Zoom). Excellent written and verbal communication skills with a strong attention to detail. Ability to handle sensitive and confidential information with discretion. Comfortable working in a fast-paced, deadline-driven environment and managing multiple priorities. Strong organizational skills and ability to work independently with minimal supervision.
Preferred Qualifications:
Experience working with ATS platforms (e.g., Deltek, ClearanceJobs,). Prior experience supporting HR or Talent Acquisition teams in the cleared or government contracting space .
