Our Planning and Development Service department (PDS) has an opening for an Administrative Specialist II, responsible for providing support to staff, Managers, and Director as well as to prepare, assist, and coordinate all public hearing and meeting advertisements. The ideal candidate has prior experience in research, proof/editing, and strong customer service abilities. If selected, you will serve as the liaison to the Planning Commission and stand as backup support to other advisory boards as needed. About the Position In this role, you will… Research, compile, prepare, and analyze data as directed by the PDS Director and Managers Provides project-specific support relating to developing and managing internal records Assist in the continuous improvement of systems and processes within the planning office Draft and maintain current office procedures Provide excellent customer service to internal and external customers Provide professional administrative support to Planning staff, which includes, but is not limited to: Proofing, formatting, and coordinating the publication of public hearing advertisements for the Planning Commission (PC) and the Board of County Commissioners (BCC) Posting of PC staff reports online Provide support for Planning Commission and other advisory boards, which includes but is not limited to: Agenda and Action Agenda preparation Room reservations Preparation of annual calendars Advertising deadline schedules Public hearing and staff report deadlines/schedules Mailouts (electronic and hard copies) Scheduling meetings Preparing advisory board appointment packets for BCC consideration Preparing, maintaining, updating, and posting materials/minutes on the advisory board website and the Granicus System for the Meetings on Demand website Knowledge in and managing records and retention policies and procedures Prepare and participate in presentations to the BCC, which includes, but is not limited to: Proof/edit BCC cover memos Reviews all department electronic workflow items for the PDS Director associated with Board public hearings. Schedule Work Hours:

Full-time, 40 hours per week

Typical Schedule:

Monday

  • Friday, 8:00 a.

m. to 5:00 p.m. (no weekends!) As a reminder, all county employees are considered essential and must be prepared to protect and support the community and its citizens. Each employee, without exception, will have a duty assignment and be required to work during a disaster or declared emergency. About You To be considered for this role, you must have the following: High School diploma or equivalent GED

  • WITH
  • Two (2) to Five (5) years of clerical and computer experience.
  • OR•One (1) year of college coursework in Business from an accredited College or University may substitute for one (1) year of work experience.

The ideal candidate has the following knowledge, skills, and/or abilities: Please note that these are not requirements but bonuses for your consideration. Related professional certification(s). Experience with Ordinances and Resolutions and/or Electronic records. Must have advanced detail orientation skills and strong editing ability. An ability to shift from independent to teamwork within tight deadlines. Intermediate to advanced proficiency in Microsoft Office software and the ability to become proficient in County-used software such as Adobe Acrobat, Point, Granicus, eGenda, etc. Positive interpersonal skills and a professional attitude.
