  • Training and Events Specialist – New Orleans, LA
  • Vertex Professional Services (VPS), located in New Orleans, LA is looking for a full time, Training and Events Specialist.

The person who fills this position is primarily responsible for the administration of logistics support for training sessions and other events supported by VPS. This position requires the ability to work collaboratively with other team members and other functions to execute the logistical requirements for events.

  • Duties and Responsibilities
  • + Coordinate and execute logistics to support learning programs, training, and events ranging in scale from individual course classes to week-long events for local and remote locations + Intake new work and liaise with clients to identify and gain consensus on requirements, clearly define scope, schedule, deliverables and cost estimates + Arrange and schedule training facilities/classrooms, offsite venues, instructors, and required equipment + Extensive use of a Learning Management System (LMS) to schedule courses and classes, update enrollments and completions, and generate reports + Daily use of a Workflow Management System to track and manage class/program information, requirements, and completion of tasks associated with event support + Management of learner progress through certification processes to + Communicate with students, instructors and event sponsors via email and/or phone to answer questions and resolve scheduling issues (e.

g., confirmations, cancellations, substitutions, etc.) + Consult with internal and external customers on services and associated requirements + Help coordinate the creation of Purchase Requests, manage Purchase Orders, and invoices address issues related to supply chain + Order and distribute course materials + Handling phone inquiries and customer interface + Select, coordinate and order catering services for events + Venue/classroom set up and tear down + Collect and complete all billing information for billing of classes/programs + Organize, maintain and order supplies and materials for office storage closet + Work with site lead to ensure budgets are adhered to and potential cost overruns are contained + Maintain up-to-date workflow system, including dates and locations for all events

  • + Moving course materials and the ability to lift up to 35 pounds is an essential function of this job. + Hybrid role, the successful candidate is required to report to the Jackson, MS office on some scheduled workdays; relocation assistance is not available for this position. + This position requires some after-hours work
  • Required Skills
  • + Strong organizational and time management skills and ability to demonstrate attention to detail + Six years’ experience in the administration field preferably supporting meetings, workshops, or class sessions + Able to follow defined processes with minimal oversight + Able to identify risks and present options for resolving + Must be proficient in MS Office + Must possess excellent interpersonal skills and telephone presence + Must possess excellent written and verbal communication skills + Must possess excellent customer service skills + Proven ability to identify, evaluate and resolve problems quickly and effectively and adapt to changing business needs + Able to work independently and as part of a team with minimal supervision •Desired Skills•+ Knowledge of learning industry, training administration, and classroom or event logistics + Previous experience planning events utilizing customer requirements and established work processes + Ability to identify areas of continuous improvement in the work environment and processes + Experience with Learning Management Systems such as Success Factors + Working knowledge of Outlook email system + Working knowledge of SharePoint systems •Education Requirements•+ High School diploma required, Associate degree or higher preferred + •This position requires a U.
