Career Development and Services Job Description The Administrative Assistant supports the Executive Director and staff in the daily operations of Career Connections. This role involves greeting visitors, managing financial and event records, and assisting with the Handshake career services platform. The Assistant facilities work orders, vendor relations, event coordination, and serves in a liaison capacity to the EMSA Business Affairs department assisting with financial and human resources processes. Responsibilities Administrative Duties and Office Management
Perform administrative duties consistent with professional greeting those visiting the Center or phoning for information. Serves as the liaison to the EMSA Business Affairs department to assist with maintaining accurate records pertaining to student new hires, accounts payable and accounts receivable, monthly budget ledger preparation (expenses), and the reconciliation of deposits (income). Reporting and Analytics
Generate reports and summaries to help staff assess career services impact and improve programming. Assist in collecting, tracking, and reporting First Destination Survey (FDS)-equivalent data by supporting outreach efforts, maintaining accurate records, and compiling summary reports for staff review. Platform Knowledge and Utilization
Acquire and demonstrate an advanced knowledge of Handshake (UTC’s Career Services Platform) to support staff utilization and optimization. Primary tasks anticipated from the Administrative Assistant include student account inquiries (and resolution), employer account inquiries (and resolutions) in concert with staff. Record Keeping and Experiential Learning Tracking
Champion and maintain accurate records of event attendance. Monitor career engagement metrics (e.g. Handshake usage, career coaching appointments, job applications, employer interactions, student program/event attendance, survey results). Support the tracking of experiential learning activities such as student internships, on-campus employment, and co-op participation, as needed. Documentation and Process Improvement
Document workflows and operating procedures to ensure Unit, Division, Institutional, and System alignment. Contribute actively to the ongoing development of student staff employed or working in Career Connections. The ideal candidate will possess the following:
Knowledge of Microsoft Office applications, with emphasis on MS Word, MS Excel, and MS Outlook.
Ability to quickly learn and effectively utilize Career Services platforms, such as Handshake.
Strong organizational skills, especially in managing fiscal systems, records, and external communications.
Strong attention to detail for managing records, generating reports, and addressing inquiries.
Problem-solving skills to resolve issues effectively.
Ability to adapt to new systems and technologies.
Ability to work collaboratively with colleagues and external partners.
Demonstrated experience of working within a student-serving environment (especially within a Higher Education environment).
Prior knowledge of financial systems or tools used in higher education (DASH etc.) and Handshake (Career Services Management portal).
Familiarity with event management platforms or other career services tools.
Ability to mentor or train student staff to contribute to team development.

Qualifications Minimum Qualifications:
Associate’s degree and two years experience in an office setting with responsibility for preparing financial reports and maintaining documentation.

Bachelor’s degree and two or more years of office experience in a student-serving capacity (priority given to Higher Education institutions) with responsibility for preparing financial reports and maintaining documentation.
