Position Summary:
Reporting to the Director of Workplace Culture and Early Career Development, the Coordinator for Early Career Development will provide logistical and administrative support to the department. This position will provide critical support in key program areas including communications, purchasing and budget management, event coordination, record-keeping, and outreach. This position supports the functions of the department by providing administrative support and management of shared departmental accounts and organization systems.
Coordinate logistical measures for experiential learning and pathway opportunities for workforce development; Provide logistical support regarding 865 Academies school visits, along with coordinating the logistics for pathway programs (internships, externships, shadowing opportunities, and partnerships with various youth-serving organizations across the city). Assist with event communication, coordination, and implementation.
Coordinate departmental communication efforts, including event announcements, recognition of cultural celebrations, and opportunities for engagement. Monitor inbox requests for initiatives and respond to or disseminate communications as appropriate, while exercising good judgment and demonstrating commitment to shared departmental values and guiding principles.
Provide administrative support for the Director, regarding general correspondence; screening calls, email; organizing, planning, developing, coordinating, and arranging meetings and special functions for the department, including announcement of meetings, agenda, and minutes; greet and provide services to internal and external visitors.
Collect and analyze data to assess program and service benchmarks and success indicators relevant to the medical center’s goals for early career development. Utilize data systems to collect information, assemble it for broader consumption, and disseminate as directed, to inform decisions across the campus in support of our goals.
Coordinate budget management and reconciliation, including making appropriate budget transfers and monitoring expenditures. Coordinate travel arrangements as needed. Responsible for all purchasing, including submitting purchase requisitions and reimbursement forms.
Position Qualification:
REQUIRED QUALIFICATIONS
Bachelor’s Degree and at least two (2) year of full time or equivalent part-time administrative and/or customer service experience. Must have two or more years experience working in workplace culture or youth development organizations supporting the success of individuals from all backgrounds.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
Advanced computer skills with demonstrated proficiency in word processing, spreadsheet development and maintenance, email, and web applications. Demonstrated proficiency in Microsoft Excel, Word, Outlook, and PowerPoint. Ability to learn and utilize new software. Ability to interpret and apply administrative policies, regulations, and rules. Ability to compose correspondence. Ability to communicate effectively with individuals from diverse backgrounds. Ability to manage organizational budgets and expenditures. Ability to analyze data and report on data analyzed.
