This individual will be responsible for gathering and analyzing information and preparing case files for further development by our legal team.
Key Responsibilities:
- Prepare and send the initial client welcome letter, ensuring all necessary documents are included, such as the client contract, relevant forms, and return envelopes.
- Provide clients with information and follow-up as necessary, recording all interactions in the case management system.
- Respond to calls promptly, reading notes to ensure you have all necessary information while updating the case file with details of each call.
- Contact insurance carriers to set up claims and gather necessary claim details.
- Accurately record claim information in the case management system.
- Ensure all required documentation is sent and notify the case manager and attorney if coverage is unavailable.
- Merge health insurance letters and send them with appropriate forms. Scan/file appropriately.
- Ensure all letters are scanned into OneDrive with fax confirmation and properly saved according to the designated naming convention.
- Regularly check and update case files to ensure all claim numbers, adjuster details, and other important information are entered accurately.
- Follow up on checklist items, calling adjusters and ensuring outstanding documents are received. Document any communication attempts in the case management system and escalate as needed if no response is received.
- Maintain accurate notes in the case management system and create reminders for follow-up or unresolved issues.
- Review all incoming mail, cross-checking details with the case management system to ensure the correct claim numbers, adjuster names, and addresses are recorded.
- Scan and save all mail in OneDrive, using the designated naming convention, and file physical documents in the appropriate case files.
- Work closely with case managers to ensure all aspects of the case development process are handled efficiently.
