Full Job Description Position Overview:
The Case Manager is integral to ensuring the timely and effective handling of immigration cases. This role demands proactive oversight of case workflows, efficient prioritization of tasks, and active collaboration across teams to address challenges and maintain adherence to deadlines. Working closely with attorneys, the Legal Operations Manager, and other teams, the Case Manager supports the firm’s mission to achieve operational excellence.
Responsibilities:
Case Coordination:
Ensure all assigned cases are handled efficiently and in adherence to established timelines and deadlines. Conduct routine follow-ups to track case progress and provide updates to stakeholders. Identify delays or potential bottlenecks, working collaboratively with team members to implement solutions.
Organize Deadlines and Case Assignment:
Develop and maintain a system to track case deadlines, ensuring all tasks are completed on time. Assign cases and tasks to team members, considering urgency, deadlines, and individual workloads. Plan and distribute assignments to balance workloads and support team and organizational goals. Provide regular updates on high-priority and urgent cases to ensure clear alignment among all stakeholders.
Case Prioritization:
Continuously evaluate and rank cases by urgency and deadlines to optimize workflows. Clearly communicate priorities to the team to keep efforts aligned with organizational objectives.
Performance Tracking and Reporting:
Maintain up-to-date case tracking records to ensure data accuracy. Identify and escalate deviations from standard procedures or performance expectations to leadership for timely resolution.
Process and Performance Support:
Collaborate with the Operations team to address inefficiencies and propose process improvements. Support performance management by identifying and resolving process-related issues.
Regular Updates:
Provide daily updates on assigned case stages to foster transparency and accountability. Share timely updates on deadlines, emergencies, and case risks with relevant stakeholders
Risk Management:
Proactively identify risks associated with case progression, such as documentation gaps or potential missed deadlines. Work with cross-functional teams to mitigate risks and implement workflow improvements.
Skills and Qualifications:
Proven experience in case management, preferably in an immigration law firm, legal environment, or similar. Strong organizational and time-management skills. Excellent communication skills, both written and verbal. Ability to prioritize tasks effectively and adapt to changing deadlines. Proficiency in using case management software and standard office tools. A proactive approach to problem-solving and a keen eye for detail. Understanding of immigration processes and terminology is highly desirable. Works effectively with attorneys, operations teams, and other stakeholders to streamline workflows.
