The ideal candidate will ensures the timely and accurate collection of essential documents for immigration cases by proactively following up with clients and coordinating translations. This role ensures the accurate and timely preparation of immigration case filings by reviewing completed documentation, preparing necessary forms, drafting cover letters, and organizing case portfolios. This role bridges the gap between document collection and case submission, ensuring compliance with legal requirements and facilitating a smooth workflow for attorneys and supervisors. Success in this role is measured by efficiency in case preparation, accuracy of filings, and adherence to deadlines to support successful client outcomes

Responsibilities Client Communication & Follow-Ups:

Proactively follow up with clients to request outstanding documentation and ensure timely submission.

Document Collection & Organization:

Request, track, and obtain required case documents, including: CR (Court Records) and CV (Civil) records Birth certificates, marriage certificates, divorce decrees, and other civil records Proof of relationship (affidavits, letters, photos, etc.) Supporting evidence for consular process, asylum, waivers, and other immigration applications Ensure all collected documents meet government and firm-specific requirements for accuracy, completeness, and authenticity. Work closely with attorneys and supervisors to prioritize document requests based on case deadlines. Maintain a secure and organized digital filing system within the firm’s case management software.

Translations & Document Preparation:

Coordinate translation services for foreign-language documents, ensuring certified translations meet USCIS and court requirements. Verify that translations are accurate and properly formatted for submission. Ensure clients understand any required certifications, notarizations, or additional steps needed for their documents.

Forms & Cover Letter Preparation:

Prepare immigration forms based on the specific case type (e.g., family-based petitions, consular processes, etc.). Draft and finalize cover letters to accompany submissions, ensuring they meet legal and firm standards. Initiate and organize the case portfolio for each client, ensuring proper categorization of forms, evidence, and correspondence. Maintain a structured and detailed case file in the firm’s case management system.

Filing Fee Assessment:

Determine if government filing fees are required based on the case type. Confirm if filing fees have been paid and properly documented or coordinate payment processing if needed.

Collaboration & Compliance:

Adhere to strict confidentiality and compliance guidelines for handling sensitive client information. Ensure all documentation meets legal standards and is formatted correctly for submission. Monitor case progress to identify and resolve potential documentation issues before they impact deadlines. Work closely with attorneys and supervisors to ensure cases are properly prepared for submission. Ensure all filings comply with USCIS, NVC, EOIR, and other immigration agency regulations. Ensure proper tracking of the case for any updates, interviews scheduled, requests for additional evidence until case is approved. Prepare clients and packets for interviews. Assist clients in completing questionnaires accurately to avoid delays in case processing. Provide clear guidance on required documentation, deadlines, and any missing or incomplete submissions. Maintain regular communication via phone, email, and text to ensure client cooperation and engagement. Experience Bachelor’s degree in Law, International Relations, Modern Languages, or related field. At least 1-2 years of experience in immigration law, legal administration, or case management (preferably in U.S. immigration services). Proficiency in Microsoft Office and legal case management software, strong organizational and document handling skills, familiarity with USCIS, NVC, and EOIR requirements. . Bilingual proficiency in English and Spanish (written and spoken), excellent communication and time management abilities Ability to manage multiple cases simultaneously while maintaining attention to detail.

Work Environment:

This position is predominantly remote, with our Tampa, Florida office serving as your designated location. In-office presence will only be required occasionally, such as for special events or at the request of attorneys. Pay and Benefits:

The hourly rate for this position is $30 per hour. This position offers direct employment with the firm, including a comprehensive benefits package. Schedule Monday to Friday, 40 hours per week.
