Job Summary:

The Case Manager will be responsible for managing a portfolio of cases, coordinating with attorneys and clients, and ensuring that all case-related activities are handled efficiently and effectively. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Duties/Responsibilities:

Serve as the client’s primary point of contact. Maintain regular communication with clients, providing updates every 30 days and setting realistic expectations of the case timeline. Use the case management system properly and efficiently. Gather and verify key client details. Collect details on the client’s personal and health insurance, including Medicare or Medicaid, and explain the relevance of this information for their case. Verify client injuries and medical treatment; assist in setting up additional treatment if needed. Liaise with medical providers such as Tri-Med and independent doctors to coordinate treatment plans. Order and track medical records, bills, and other case-related documents. Add relevant information to case management systems, update case statuses, and open appropriate checklist items. Ensure all pertinent medical and billing records are ordered once liability is confirmed. Manage case expenses, including attorney fees, treatment facility costs, and lost wages documentation. Track reductions on bills and negotiate with providers for cost reductions on the client’s behalf. Prepare and package demand letters, settlement brochures, and supporting documents for attorney review and submission to insurance companies. Follow up with attorneys and insurance adjusters on the status of demands and settlement offers. Manage the disbursement of settlement funds, ensuring legal obligations are met, including lien payments and reductions. Coordinate the settlement disbursement process, including the drafting of disbursement sheets and liaising with clients on payment methods. Ensure all necessary checks are prepared, distributed to clients and providers, and scanned for record-keeping. Once the file is ready to be closed, ensure that the file is sent to your supervisor to close out with all pertinent documents saved in the case management system. Perform other administrative tasks and special projects as assigned.
