Church Administrator First Congregational Church of Milford 4 Congress Street, Milford, MA 01757 About the Organization First Congregational Church Milford founded in 1741, is part of the United Church of Christ denomination and is an active part of the Milford, MA community. While the congregation is smaller, our church serves as a home for Spanish-, Brazilian Portuguese- and Quechua-speaking congregations, Alcoholics Anonymous, Girl Scout troops and more. About the Position First Congregational Church Milford is seeking a part-time Church Administrator to help keep the life and activities of the church going. This position is for 12 hours a week in-person. While occasionally some small tasks may be approved for remote work, the Church Administrator needs to be in-person to welcome visitors, retrieve and review the mail and answer phones. The exact schedule has some flexibility and will be decided together with Pastor. An example would be Monday, Wednesday, Thursday 9 am to 1pm. The position is overseen by the Governing Board, with day-to-day supervision by and reporting to the Pastor. The Church Administrator will also coordinate closely with the bookkeeper, Treasurer, Head of the Governing Board, and Property Management Committee. The position is paid hourly with no benefits or paid leave time. Job Description

  • Manage all incoming emails for the church email account, including reading, responding, forwarding to appropriate congregational committees, printing invoices, and electronic archiving /filing.
  • Manage the regular mail, including checking the post office box (next door), opening and reviewing all written correspondence, passing on the mail to the Pastor or appropriate congregational committee for action.
  • Answer the phone, take messages, review voicemails, ensuring that the Pastor and appropriate congregational committee are informed of messages/information in a timely manner.
  • Maintain the church calendar, coordinating with the Property Manager on use by community groups, preparing calendar information for weekly bulletins and newsletters.
  • Copy edit, format, and print the weekly bulletin in preparation for Sunday Service.
  • Prepare and send weekly and ad hoc emails to congregation members with updates on church events, announcements and other information related to the life of the church.
  • Collect information for, format, and send out the monthly newsletter using MS Publisher and MailChimp.
  • Mail copies of bulletins, newsletters and other information to congregation members without email.
  • Support the supply and stock management for coffee hour supplies, office supplies, and other maintenance goods such as cleaning supplies. This includes checking stock levels, informing the appropriate people, and online ordering for some items.
  • Compile, print and distribute the Annual Report for the church’s annual meeting in January and prepare materials for other ad hoc church meetings during the year.
  • Maintain electronic and paper files.
  • Other administrative tasks include: o Support the property management team in contacting vendors for repairs.

o Process rental and use inquiries. o Maintain church membership list in Excel, Church Directory and email list. Distribute directory electronically a few times per year with updates. o Manage distribution (and retrieval) of church keys, alarm codes and wi-fi passwords. Maintain a log for keys and alarm codes.

  • Other administrative tasks as assigned by the Pastor. Requirements Required Skills and Experience
  • Competent in Microsoft applications and Google applications and be able to troubleshoot computer and printer problems
  • Some experience in an office or administrative environments using computers, phone systems, printers, scanners and copiers
  • Positive attitude, friendly, and have a sense of humor when it comes to unexpected events
  • Be organized and able to prioritize tasks
  • Fluent or Proficient English
  • Must be able to maintain confidentiality of church and members’ information
  • Detail-oriented Preferred Skills and Experience
  • Knowledge of MS Publisher and MailChimp
  • Experience working in a church or religious office environment
  • Knowledge of Spanish or Portuguese a bonus
  • Knowledge of website maintenance also a bonus
