Summary:

The Department of Surgery is seeking a highly motivated Administrative Coordinator to support the Cardiothoracic (CT) Surgery Division. This position will serve as the primary administrative assistant to the Division Chief, providing high-level administrative and clerical support. The coordinator will also assist multiple CT Surgery subdivisions, including faculty and Advanced Practice Providers. This is an excellent opportunity for a detail-oriented administrative professional who thrives in a fast-paced, collaborative environment and is committed to supporting clinical and academic excellence.

Responsibilities:

Provide day-to-day administrative support to the Division Chief and CT Surgery providers Manage calendar scheduling, coordinate meetings, conferences, and travel arrangements

  • Process expense reports and handle purchasing activities
  • Screen incoming calls and visitors in a professional manner Assist with onboarding of new faculty Manage confidential information with discretion Monitor and respond to emails and electronic faxes as directed Support system leadership with national organizations and committees
Other Information Education Requirements:

High School diploma or

GED Licensure/Certification Requirements:

No licensure or certification required.

Professional Experience Requirements:

Three (3) years of clerical or administrative experience. If Bachelor’s degree, one (1) year of clerical or administrative experience. If Associate’s degree, two (2) years of clerical or administrative experience.

Knowledge/Skills/and Abilities Requirements:

Exceptional organizational skills and attention to detail Strong verbal and written communication abilities Demonstrated customer service orientation Ability to manage multiple tasks and prioritize effectively Capable of working independently and meeting deadlines Experience in project management

Preferences:

Prefer candidates who have a background in professional writing and editing.
