School Tours Coordinator School Tours Coordinator Job Summary:
Do you enjoy seeing adults and children learn about and connect with where their fruit comes from? Are you able to take a project from start to finish? We are looking for someone to lead our tours from booking groups, communicating with teachers, overseeing set up of tour stations and leading our team of orchard tour guides! We are seeking someone to fill this role who is themselves a passionate and energetic tour guide to coach our guides to lead walking tour groups, as well as be a substitute guide when necessary. The tours cover many areas of the orchard, requires sharing interesting orchard facts and doing special activities with the students. This part-time, seasonal position is ideal for a candidate who wants to work hard for a season and then enjoy a period of less hours. Most onsite hours are also completed during regular school hours!
Minimum Qualifications:
Must be at least 21 years of age Must have excellent communication and interpersonal skills to relate to teachers, students, tour guides, and other coworkers. Must have the ability to innovate while staying within parameters set by Weaver’s Orchard Board and owners. Must have the ability to work independently and as part of a team. Preferred experience/skills Some knowledge of working on an orchard/farm and experience with children.
Primary responsibilities:
Review tour program with Board or ownership, Production Manager, other leaders that have insight/impact on tours. Make changes to program or content to meet needs or make improvements. Cooperate with Human Resources to hire new tour guides as needed (participating in or leading interviews.) Create booking calendar in Bookeo software online for group leaders to book available tour dates/times. Create open dates for booking. Update pertinent information such as pricing and activities as needed. Approve groups’ booking or communicate with scheduling teacher/leader to find date that does work based on group size/needs. Maintain communication with groups and obtain confirmation close to date. Update with any last minute changes. Build Tour Guide calendar (assigning guides to each day based on how many groups will be attending) Build Daily Schedule for guides within each block of tours. Oversee daily setup for tours Set up or assign guides to set up activities/stations. Gather and maintain materials for each tour Communicate the week before and morning of with those in charge of cider, donuts, hayrides, special accommodations, office (packets for teachers), etc. Greeting and welcoming students and teachers/parents upon arrival.
Troubleshoot scheduling challenges:

manner, providing flexibility without losing structure to morning. Oversee moving parts throughout block of tours: Help relieve bottleneck of tour groups arriving too early/late to activity Move boxes from filed to bus/vehicles. Run for missing materials. Jump in on tour when needed to fill a guide spot, etc. Reviewing itinerary of tour with your group. Take teachers to office to pay/receive invoice depending on group. Track payments to ensure all have paid. Oversee Clean up upon completion of tour, some personally and some completed by guides. •

Able to quickly adapt to changing circumstances. Organized and neat. Willing to learn new things and receive correction from manager(s). Ability to be flexible and problem-solve.
Physical requirements:
Must be able to lift 25-50lbs. Must be able to stand on feet for duration of 4-6-hour shifts. Must be physically fit. Must be able to walk for an extended time and be mobile. Must have a strong voice that can project in a loud environment. Must be able to drive a golf cart.
Physical appearance:
Due to the nature of this position, and the image we wish to convey, we require conservative, neat/ clean attire. The individual will present as a professional in all manner of speaking. Dress is casual, but professional. Any other requirements will be found in the Employee Handbook, to be reviewed before accepting the position.
Structure:
Part-time hours between 8:15 am and 3:00 pm, Monday through Friday. Some communications and booking can be managed remotely. This individual must be dependable and reliable. The heavy season is fall tours: actual tours are mid-September through the first week of November. Spring and Summer tours are two/three days per week in May and throughout summer (typically Wednesdays, Thursdays and Fridays.) Winter hours in preparation for Spring through Fall tours can be determined by availability and can be partially remote.
