Position Title :

Family Child Care Network Coach As a Staffed Family Child Care Network (SFCCN) Coach you will be part of a team-oriented work environment that values individual team members’ contributions, appreciation for diversity and confidentiality standards of the agency. About the Staffed Family Child Care Network (SFCCN): The Staffed Family Child Care Network is a new initiative funded by the New York State Office of Children and Family Services (OCFS) to strengthen and support home-based child care providers. Through this program, participating providers will receive individualized coaching, business and administrative support, access to shared resources, and professional development opportunities. The goal is to reduce isolation, improve program quality, and help family and group family child care providers build sustainable businesses. As part of the launch of this new initiative in our region, we are seeking two dedicated and knowledgeable SFCCN Coaches to support and engage providers in this network. At least 1 Coach must be bilingual in English and Spanish.

Job Overview:

The SFCCN Coach works directly with a group of family child care providers to support their financial, physical, and mental well-being . This includes providing individualized and group coaching on business practices (like budgeting, invoicing, and HR), using Child Care Management Software (CCMS), and connecting providers to resources such as healthcare, retirement planning, and peer networks. The coach also helps providers maintain compliance with regulations, improve operational efficiency, and strengthen their overall business sustainability.

Key Responsibilities:

1. Coaching & Technical Assistance – Business. Deliver individualized and small group coaching to provider members to support the goal of financial well-being that is focused on financial sustainability, Child Care Management Software (CCMS) usage, and business operations. Coach providers on using a Child Care Management System (CCMS) for financial tracking, enrollment, billing, and subsidy management; support onboarding and training of providers. Assist with and support marketing strategies to reach and maintain full enrollment. Analyze CCMS data to assess enrollment trends, revenue patterns, outstanding payments, subsidy tracking, and compliance. Guide providers on HR and financial systems including payroll, budgeting, and tuition collection, and develop individualized coaching plans based on their specific needs. 2. Coaching – Health & Well-being Connect providers with health insurance, telemedicine, retirement planning, and wellness services. Organize and track engagement in membership meetings and community-building activities. 3. Data & Systems Management – Collect baseline data and ongoing data to track provider business practices, financial performance, and CCMS utilization. Maintain accurate and up-to-date records in both CCMS dashboards and other data systems, ensuring that all coaching interactions, action plans, and provider progress milestones are documented, as required by the state. 4. Compliance & Program Support Help providers stay compliant with federal/state regulations and improve documentation practices. Assist with tuition policies, automated invoicing, and CACFP meal tracking. Review and provide guidance on parent handbooks, fee policies, and enrollment contracts, ensuring that providers clearly communicate tuition expectations, payment schedules, and late payment policies. Help providers access CCMS features, functions and reports to prepare for licensing inspections, financial audits, and program evaluations. 5. Professional Development & Collaboration . Adapt coaching strategies to meet the diverse learning styles, experiences, and needs of child care providers by utilizing adult learning principles. Offer one-on-one coaching, small group workshops, and peer learning opportunities. Develop and maintain strong, trusting relationships with child care providers and other early childhood and business support organizations. Facilitate ongoing collaboration by connecting providers with relevant resources, training opportunities, and peer support networks to enhance their business management skills, CCMS utilization, program quality and financial stability. 6. General Responsibilities – Participate in meetings with the Early Care & Learning Council (ECLC), the statewide network for Child Care Resource Centers, the Office of Children & Family Services (OCFS) and other meetings as needed. Comply with the reporting requirements as set forth by OCFS and ECLC. Other duties as requested by your supervisor or other management representatives.

Qualifications, Knowledge, Skills & Experience:
  • Commitment to the mission of the Child Care Council of Suffolk and desire to work with individuals from all of the different communities in Suffolk County.
  • Bachelor’s degree in Business, Early Childhood Education, Program Administration or related field
  • Minimum 3 years of experience in early childhood administration, including fiscal management, and business automation.
  • Demonstrated proficiency with technology and the ability to quickly learn and adapt to new software platforms, including child care management systems and business automation systems.
  • Proficiency in data analysis to inform decision-making.
  • Excellent verbal and written communication and interpersonal skills.
  • Excellent analytical, problem-solving, and decision-making skills
  • Able to work with staff from diverse backgrounds.
  • At least one of the Coaching positions must be bilingual in English & Spanish.
Physical Demands/Work Environment:

This position requires travel to home-based child care programs throughout Suffolk County. Candidates must have a valid New York State Driver’s License and use of a vehicle. Mileage reimbursement for all travel is provided.

Salary Range:

$55,000 – $58,000 plus benefits package
