This position provides direct administrative and organizational support to both the Senior Pastor and Executive Pastor, while overseeing all aspects of membership care and data management. The ideal candidate will have strong interpersonal and organizational skills, a deep sense of confidentiality, and a heart for ministry.
Primary Responsibilities:
Pastoral Support Assist the Senior Pastor and Executive Pastor with scheduling, communication, and project coordination. Prepare materials and agendas for pastoral meetings, leadership gatherings, and committee work. Manage pastoral calendars, appointments, and follow-up communications with congregation members. Help coordinate worship planning and occasional special services (e.g., baptisms, confirmations, funerals, weddings). Support pastoral care by organizing visits, prayer lists, prayer cards, and follow-ups as directed. Membership Administration Maintain the accuracy and integrity of the church’s membership database (FellowshipOneGO). Record and track baptisms, confirmations, new members, transfers, deaths, and removals. Provide statistical reports and updates to church leadership, conference, and denominational agencies as needed. Coordinate new member assimilation processes in collaboration with pastoral and ministry staff. Generate reports, directories, and mailing lists for communication and engagement purposes. Communications and Coordination Serve as a key liaison between pastoral leadership and congregation members regarding scheduling, information sharing, and event planning. Support communications related to pastoral initiatives, member engagement, and spiritual formation opportunities. Collaborate with administrative and ministry staff for coordinated church-wide communication and recordkeeping. Participate in all trainings required by the Employee Policy Manual (e.g. Safe Sanctuary).
Qualifications and Experience:
A personal commitment to Jesus Christ and alignment with the mission and values of the United Methodist Church. Minimum of 3 years administrative, church office, or ministry support experience (preferably in a large church or nonprofit setting). Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and church management systems. Familiarity with or willingness to learn United Methodist polity, procedures, and membership records. Excellent organizational, written, and verbal communication skills. High attention to detail, with the ability to handle sensitive information with confidentiality and discretion. Friendly, welcoming demeanor and the ability to relate to a wide range of personalities. Ability to work independently, take initiative, and manage multiple priorities with grace and professionalism. Ability to pass a background check screening.
