The Operations Assistant contributes to our mission by facilitating all work order assignments for maintenance staff in residential programs, doing so by using technology in a way that ensures successful unit management and improves processes. The Operations Assistant will also provide support with myriad administrative tasks. Strong computer and analytical skills are a must.

Wage starts between $21.50 and $24.25 per year depending on equivalent qualifications. The candidate will work mostly onsite. One remote day per week may be approved, subject to the needs of the program.
Responsibilities include:
Proactively maintain work order database, facilitating daily work assignments to ensure unit compliance and adherence to contractual obligations in a manner that prioritizes repairs while maximizing resources and time Coordinate all unit repairs, incuding working with all landlords to ensure compliance with Housing Quality Standards (HQS); send out 24-hour notices to shelter clients for unit repairs and inspections Collaborate with management to ensure that the organization’s leased units include repair tracking; produce monthly reports on status of unit repairs Liaise with management and landlords regarding unit repairs and turnovers; keep management updated regarding offline units, prioritizing maintenance requests and work orders to reduce revenue loss Develop and conduct ongoing trainings, acting as a mentor to staff as related to unit compliance and utilizing the work order database Proactively ensure efficient workflows, addressing systemic and human-error issues that impact the efficiency, quality, accuracy, and timeliness of repairs; review regularly for continuous improvement Provide administrative support and coordination, including invoice processing and inventory as necessary or assigned; and to management for the achievement of departmental and organizational goals Provide access to units as necessary to meet contractual requirements, including for inspections, and to minimize disruptions to tenants and shelter clients Establish and maintain strong, collaborative relationships with internal staff and departments, owners, landlords, funding sources, and other shelter-related departments or agencies Serve as key team member, proactively cross-training to provide backup support as needed within residential operations Proactively identify and inform management/leadership of any issues that may adversely affect the department or organization Requirements include: 2 years’ equivalent experience in an administrative role, with 1 year as a field specialist; a combination of experience plus an Associate degree may be a substitute Experience in shelter-based housing services or property management, especially maintenance-based, is highly preferred Comprehensive knowledge of housing and shelter-related regulations and policies is preferred Demonstrated ability with work-order-based software applications, MS Suite, and reporting, invoicing, and light analytical tools; comfort in learning new technologies and assisting/teaching others in their use Ability to assess priorities and operate in a flexible manner Excellent organizational, and time management skills; demonstrated ability to exercise independent judgment to achieve goals Coordinate, and participate in training as needed. Solid communication skills, including listening, across all organizational levels; ability and comfort in conducting effective small-group trainings Valid driver’s license with acceptable driving record; reliable vehicle
