Full Job Description Description:

Galloway Ridge is an upscale continuing care retirement community located between Chapel Hill and Pittsboro in Chatham County, NC. The Administrative Assistant for the office of Resident Enrichment at Galloway Ridge ensures the successful functioning of the department from an administrative standpoint. The Resident Enrichment office at Galloway Ridge handles the planning and successful execution of the community’s activities. This role reports directly to the Director of Integrated Services. This role requires a passion for accuracy, project management, customer service, and dedication to the Galloway Ridge core values of: caring, empowerment, integrity, and commitment. The schedule is Monday – Friday, on-site, 8:30AM-5:00PM with an occasional Saturday or Sunday as needed to support large or complex events. Responsibilities include, but are not limited to: Tracking and updating vendor agreements Submitting check requests Tracking credit card payments, uploading receipts Managing and ordering office supplies Tracking resident requests, comments, and suggested activities, ensuring each is captured and properly distributed to the correct Enrichment Coordinator Assisting residents with event registration Maintaining Cubigo with accurate listings, descriptions, and registration numbers for events Working closely with RE team, Marketing team, and any other relevant stakeholder to maintain an accurate community calendar of events Creating and submitting monthly report of activities to Marketing for inclusion in our community wide newsletter: The Heard Creating a “bill back” report for Finance from resident engagement in activities Engaging with residents in a helpful, solicitous, and eager way Providing high-level administrative support to the Director of Integrated Services, including managing schedules, calendars, coordinating meetings, preparing reports, and documents Monitors the Resident Enrichment office shared email, responding promptly and courteously to inquiries Assists with resident check-in and tracking attendance at various activities and event Additional duties assigned include, but not limited to, enhancing the Resident Experience.

Requirements:

Associates’ Degree or higher level of educational achievement preferred 2-4 years of successful administrative work in a fast-paced office setting Must possess a high level of computer skills, with ability to use Microsoft Office 365 and Google Workspace in a dynamic and versatile way. A high aptitude for learning technology is required, basic knowledge of audiovisual equipment is a plus Must have strong and effective written and verbal communication skills and be able to work collaboratively within a diverse work group. Senior living experience preferred, but not required
