Social Services Position Purposes :
To provide administrative support for the Chief Social Services Officer by assisting with oversight of the systemwide Social Services Department, providing direct oversight of Mississippi-based Social Services operations, and leading Social Services-specific data tracking and reporting activities
Essential Functions:
Systemwide Administration
- Collaborate with the Chief Social Services Officer to develop reasonable standardization of departmental processes across locations
- Ensure Social Services staff adhere to organizational, departmental, and funding-related policies and standards
- Assist in the development and implementation of Social Services policies
- Conceptualize and lead efforts to improve service delivery to and outcomes for clients, focusing on efficiency and effectiveness
- Travel consistently to provide an in-person presence at all Social Services locations, with a specific focus on Mississippi offices
- Develop and maintain a strong collaborative relationship with FHHS Clinics in all locations to ensure proper referral processes and problem solving between departments
- Develop and maintain a strong collaborative relationship with the Human Resources Department to ensure proper management of personnel matters
- Serve as the liaison between the EMR Department and Social Services; Ensure that all relevant Social Services staff are proficient in use of Athena; Assist in training Social Services staff on Athena, as necessary
- Participate in various working groups (i.e., Social Services EMR huddles) and departmental meetings (i.e., Social Services Leadership Meetings)
- Develop and maintain strong collaborative relationships with all other FHHS departments for project implementation, problem solving, and process development (i.e., IT, Logistics)
- Collaborate with the Director of Clinical Quality Management and QA/QI Specialists to address deficiencies in client files
- Ensure preparation for and actively participate in federal and state programmatic audits (i.e., Ryan White)
- Develop a working knowledge of FHHS contracts and grants in which Social Services positions and services are funded; Abide by funding regulations and limitations
- Participate in regular training to maintain current knowledge of standards and requirements of funding sources in Alabama and Mississippi
- Develop and implement a training tracking system for relevant Social Services staff
- Develop and implement a tracking system for Social Services billing goals and performance
- Assist with professional and leadership development of systemwide Social Services staff; Develop and facilitate trainings as relevant
- Assist Social Services staff in all locations in addressing client issues as necessary
- Actively participate in Senior Leadership Meetings
- Maintain consistent and productive communication with the Chief Social Services Officer
- Perform any other departmental or agency-related duties or special projects as assigned by the Chief Social Services Officer or Chief Executive Officer Mississippi Operations
- Develop an expert-level knowledge of Mississippi Ryan White standards and documentation processes, to include CAREWare
- Develop and implement Mississippi-specific policies and protocols as necessary
- Provide thorough supervision for Social Services staff in all FHHS Mississippi offices; Monitor quality and quantity of performance
- Represent FHHS at relevant meetings in Mississippi Data & Reporting
- Develop and implement a system to track informative data (i.e., actives, inactives, disenrolled clients, last visits); Collaborate with the Chief Health Information Officer, Data Analyst, and HIV-specific Patient Engagement Specialist as necessary
- Ensure all departmental reporting requirements are met based on the specific criteria of each contract or grant
- Provide the Development Department with Social Services data for grant reporting
