Job Duties:
The Administrative Specialist II provides administrative support of Human Services requiring a considerable knowledge of agency operations, service programs and procedures in order to carry out responsibilities and duties.
Performs job delivery and/or performance with positive or appropriate customer service delivery to clients, the public, and coworkers as an integral requirement. Assists clients with receiving utility bills and prescription vouchers, burnout, clothing and food vouchers. Action tray/pictures for HS done daily. Types materials/proof typed copies for errors, corrects prior to returning to originator for approval. Maintain filing / setting up of all Human Services records and retention of files. Will be Assigned P-Card and will be responsible for all paperwork associated with P-Card duties. Switch board back up relieves switch board for lunch and breaks.
Receives incoming monies on the daily cash logs and send receipts to payees. Make daily bank deposits.
Performs other related duties as required, filing, assist coworkers when necessary, process check cancellation, setup/transfer of records. On request will attend any agency held meetings as needed and prepare minutes for signature and distribution. Quality control of printer’s/copier’s. Back up to the receptionist with responsibilities of answering and routing calls to the proper persons. Logging all walk-in clients and directing them to the proper person. Vehicle Coordinator
Responsible for filing incoming files on file shelves, pulling outgoing files as requested, maintain separation of case files by programs and purging close case files as required for destruction and archives.
Performs emergency disaster management services to include American Red Cross sheltering and Disaster Snap duties: perform other related duties as required.
Performs Red Cross shelter duty or other emergency shelter duty and services as directed.
Minimum and Additional Requirements
A High School Diploma and two (2) years of clerical experience.
A Bachelor’s or Associate Degree may be substituted for all or part of the work requirements.
