Job Summary:
The Live Outcome Coordinator serves to ensure positive outcomes for shelter animals in the quickest, most effective manner. This position utilizes industry best practices in open adoptions, community cat management, pet retention, and animal transfer. This position serves as the primary liaison to transfer partners and the community to increase positive outcomes for shelter animals. The primary goal of this position is to increase positive outcomes and achieve at least a 90% save rate at Sumter County Animal Services, significantly reducing shelter deaths in a sustainable manner. The Live Outcome Coordinator will track animals within the shelter database and prepare reports for review by shelter leadership. This position, while employed by the Humane Society of Sumter County, will primarily work at Sumter County Animal Services. Primary Responsibilities Perform administrative duties associated with program, including reporting and monitoring monthly save rate, average length of stay, and shelter intake and outcomes. Assess kennel space for determining the volume of appointments/transfers and type (species, age, health status) of adoptable animals that can be reasonably accepted Set appointments for adoptable pets as space allows Ensure length of stay is minimized by forecasting intake and ensuring animals have adequate surgery space, kennel space, and the resources they need to move quickly through the shelter Assist in transfers to other agencies Enter animal information into the animal inventory software system and produce kennel cards for animals that are admitted Interact with, train, and engage volunteers Problem-solve and provide resolution to questions and concerns from staff and customers Interact with a high volume of pet owners looking to relinquish their pets in person, via email, or over the phone with an emphasis on directing them towards alternatives Establish and maintain relationships with key stakeholders within the community and influence and secure their support towards programmatic and policy changes needed to achieve project goals. Organize and conduct meetings virtually and in person and arrange onsite visits to further programmatic goals. Support general engagement goals for website, social media, marketing and print materials by gathering stories and creating content, on the fly and as assigned Problem-solve and provide resolution to questions and concerns from citizens needing resources from the shelter. Provide effective communications to staff to ensure they stay current on department needs, department news, goals, and activities Plan and lead adoption events both on and off site. Facilitate the adoption process on-site at or at off-site location Provide direction to volunteers assisting with adoption activities Perform pet consultations Counsel new pet owners while following Open Adoption practices Perform follow up calls Maintain a clean and safe environment for the animals and the public Use Microsoft Office programs shelter database to collect data regarding each client interaction Other duties as assigned Qualifications High school diploma 1-2 years supervisory experience preferred 3-5 years of customer service skills in an office or retail business setting Proficient in Microsoft Office and comfortable with computers Excellent communication skills and pleasant demeanor for interaction with customers, volunteers and staff Ability to work comfortably with and around animals following procedures and protocols Organization skills, multi-tasking ability and the capacity for working well under pressure Ability to work as a team player and possess the ability to self-motivate Ability to maintain a professional appearance and provide a positive company image at all times Excellent attention to details Good driving record Physical Requirements Ability to stand, walk, stoop, kneel, crouch, climb and manipulate (lift, carry, move) up to 50 pounds Ability to work indoors and outdoors in varying temperatures and climates Ability to work with animals of varying temperament in noisy conditions Ability to work with cleaning materials Work Schedule The schedule for this position includes weekday, weekend and holiday hours and a flexible work schedule Hours and days are subject to change based on department demands Performance Measures Ensures department goals are met Demonstrates the ability to address and resolve many issues without intervention Completes administrative tasks, reports and schedules on time and accurately Ensure shelter consistently maintains 90% + save rate This position description in no way states or implies that these are the only duties to be performed by the employee occupying this position.
