DESCRIPTION OF WORK
This position involves dual roles the main purpose is to manage all administrative duties including payroll, fundraising, inventory, monetary transactions, providing information to the public via phone, email and fax, maintenance of records and files. In addition, this position is responsible for overseeing the spay and neuter transport program, scheduling events, administrator over operating software, running reports, creating records and maintaining operations for the animal shelter with the guidance of the animal shelter director, as well as assist the director, manager, and all staff to ensure the shelter is operated in a consistent, effective, and efficient manner.

Administrative Duties:
Assists the Director by inputting payroll entry and checking/returning messages, fundraising, event planning and preparation, annual drug inventory, copy editing documents, and transporting.
Acting Administrator over Pet Point, the Animal Shelter’s operating software, with the ability to perform adoptions, return animals to their owner, clinic operations, transfer animals into other organizations, edit records, run reporting and statistics. Develop, maintains and reviews office training manual to maintain consistent office operations.
Edits social media to keep it up to date with current content keeping followers engaged and encouraging shares. Approves content from other employees before it can be posted.
Performs monetary transactions for adoptions, return to owners, shelter fees, County citations, donations and clinics at the shelter and at off-site events. Performs office duties such as answers the phone, returns messages, monitors and responds to emails, scan documents, electronically faxes, files records both as hardcopies and electronically. Maintains financial records by doing daily deposits of cash and credit card transactions along with quarterly PayPal deposit. Creates invoices to City Police Department’s for animal control that helps generate income for the shelter. Trains all new employees on the use of Pet-Point, front desk responsibilities and office equipment. Runs animal inventory to account for every animal in the building. Develop, maintains and reviews office training manual to maintain consistent office operations 60%
Program/Services Responsibilities:
Oversees the public low-cost spay and neuter transport program by scheduling clients, accepting applications, coordinating dates with the Humane Society of the Piedmont Spay, Neuter & Wellness Clinic, returning calls, and is on-call during clinic for shelter and veterinarian staff. (major)Provides customer service to citizens visiting the shelter wanting to adopt, looking for a lost pet, signing-up for spay and neuter services and answers general questions.
Networks and organizes dates with rescue organizations and other animal governed agencies for transport and placement of at-risk animals and prepares all necessary documentation needed for travel. Research grant opportunities and submits entries on behalf of the shelter to raise funds to generate needed funds for the shelter. Performs animal behavior evaluations, blood draw, diagnostic testing, photography and videography, for animals seeking placement with outside organizations. Prepares reports associated with animals being held on rabies quarantine, make additional contact with the owners of these animals and reports back the final disposition to the Environmental Health Department.
Attends Zoom meetings in reference to national branded events to gather details, dates and times that effect shelter adoptions or public outreach. Deescalates situations involving irate citizens, in-person or over the phone, before higher management is needed. Communicates with local Veterinarian’s office management regarding billing, surgery dates, and missed appointments. Sends records electronically to veterinarians, governed animal agencies, and rescue organizationsPrepares court documents for community service so that the hours are counted for their serviceMust equal 100%
