out of 5 stars Ocala, FL 34475 JOB This position is responsible for fulfillment of public records requests, fingerprinting services, local criminal history checks, assisting the public, other employees, and outside entities in person, by phone and by email. Will be expected to register, photograph and fingerprint convicted felons, career criminals and sex offenders/predators. Processing arrest paperwork, traffic citations, warnings, and infractions, as well as DUI packets. Maintain the main lobby as the receptionist, as well as use a multi-line phone system as a switchboard operator.

EXAMPLE OF DUTIES
Duties:

A. Abide by the “Law Enforcement Code of Ethics”. B. Ability to learn Public Record Law, including confidential and exempt information. C. Ability to complete the processes for procuring, compiling, tracking, redacting, and furnishing of public records within the required deadlines established by state law, whether by U.S. Mail, fax, email, phone or in person. Be able to identify confidential and exempt information and apply it appropriately. D. Provide each public records requestor with a valid response for every redaction if requested. E. Provide records to a requestor or a reasonable estimate of time for providing the records and an estimate cost via an invoice, if applicable. F. Maintain the Main Operations lobby, including accounting for each individual with an average of 134 persons per day, checking in citizens, directing them to, or contacting, appropriate departments, and/or providing basic information, instructions, or directions. Also, direct them to the Telephone Response Officer when in need of a Deputy. H. Maintain, provide, and track any visitor badges supplied to guests who are required to go beyond secured doors within the Main Operations Building.

I. Must be attentive to any situations in the lobby that would require assistance, medical assistance, or any possible conflict. Notify appropriate personnel in the event of an issue. J. Operate the switchboard by interacting with the public frequently over the phone, with an average of 155 calls per day. Answer all incoming calls to the main line of the agency and direct callers to the appropriate departments, as well as transfer calls to the Records Division for public records requests and/or other Records related functions. Includes providing and researching basic information as required or asked of by citizens. K. Prepare copies of incident reports, arrest affidavits, probable cause documents, citations, warnings, DUI packets, tow logs, criminal registrations, written statements, and/or DV paperwork as needed for the Clerk of the Court, Public Defenders, Attorneys, other Law Enforcement agencies, Government or Military, Child-Family Services, Insurance companies, private citizens, the State Attorney’s Office, other MCSO divisions, private companies, and the Marion County School Board/Safe Schools. L. Retrieve arrest affidavits from Marion County Jail. Review reports/affidavits and distribute to the State Attorney’s Office and Clerk of Court daily. M. Process Notice to Appears, W.I.L.A. forms, written statements, DV paperwork, and other additional paperwork as required.

N. Comply with Florida State Statutes by providing incident reports to entitled entities such as the Domestic Violence Center, Department of Youth Services, Clerk of Court Probate Division, Fire Marshal’s Office and Marion County Animal Services; daily. O. Assist deputies, investigators, other office personnel, or outside entities with records information as required. P. Use POS system, including sales and refunds, reconcile the cash drawer, and submit money to Fiscal Division. Q. Perform local law enforcement checks as required. R. Type letters, memos and other correspondences as required. S. File and retrieve criminal reports and other information from records and warehouse files. T. Receive, open, process, and distribute incoming mail. U. Process outgoing mail. V. Take fingerprints for individuals upon request. W. Maintain current knowledge of all pertinent records information contained in our Record Management System. X. Enter or retrieve information from various in-house programs and software as required. Y. Register, photograph, and fingerprint approximately 300 convicted felons, career criminals, and sex offenders/predators per month, upon request. Z. Process, enter and file all Uniform Traffic Tickets and warning tickets. Process and file DUI paperwork, Civil Infractions, and Marsy’s Law forms. AA. Obtain knowledge of MCSO divisions, their employees, and daily functions and in order to assist the public. BB. Maintain a clean working environment. CC. Perform any additional duties that may be required by the Sheriff or through necessity of situations.

SUPPLEMENTAL INFORMATION WORKING CONDITIONS

Normal office environment. Frequent interruptions. May be subject to verbal abuse. Normal office hours but may be required to work overtime. Portion of time is spent in data entry and retrieval from computer. Requires being in close proximity with the public to perform fingerprinting and criminal registration services. May occasionally be subjected to verbal abuse, irate and/or highly emotional citizens. Requires some stooping, bending and lifting items of moderate weight. May require overtime when necessary and during severe weather. May be required to work outdoors or in warehouse conditions on occasion, which can require climbing on a ladder

ADA:

Physical and dexterity requirements. Requires light work that involves walking or standing, exerting up to twenty (20) pounds of force on recurring basis: Requires the ability to sit at a desk and view a display screen for extended periods of time, the ability to lift, carry, push, or pull items up to ten (10) pounds; routine keyboarding operations.

This job risks exposure to office related dust, fumes, and odors.
