Type of Position:
Permanent General Description/Position Purpose This individual is the primary staff member responsible for the daily operations of the Lehman Library circulation desk and its reserves program. This is also a supervisory position for the Grace B. Luhrs circulation desk and staff member. Responsibilities include the interviewing, hiring, training, scheduling, fund budgeting, and supervising of student employees (graduate and undergraduate) for the Lehman Library. Additional responsibilities include coordinating the fund budgeting, hiring, and assignment of student employees to library sub-departments. A priority is providing front line customer service in person, via phone and email to students, faculty, staff and other library customers. The circulation, reserves, & student supervisor assistant may provide basic research and directional help to patrons and will refer students to the librarian on call for all complex research needs. Based on her/his skill set and the needs of the library, the incumbent may serve on library committees and taskforces or be assigned additional library responsibilities. This individual is the primary staff member responsible for the evening operations of the Lehman Library circulation desk and acts as an evening building monitor and closer. Specific functions of the CRSS position are as follows:
Circulation/Access Services Functions:
Performs all library clerical functions and provides patron services relating to circulation desk services. Tasks include, but are not limited to: Patron Assistance
Creates and edits patron records as needed for those not directly associated with Shippensburg University.
Checks out and in various library materials, and sorts/shelves returned materials for future patron access.
Collects and waives fines and fees as appropriate for lost or overdue materials. Places and removes holds from patron accounts.
Assists patrons in locating specific materials in the library.
Assists with basic operations and troubleshooting of printers, technology equipment, and software in the absences of technology helpdesk staff or student workers.
General Circulation Department
Reviews and updates circulation policies, procedures, and forms as needed to be current with best library practices and standards.
Maintains circulation desk and 1st floor break room supplies.
Oversees the library’s lost and found and sends these items to the police.
Maintains the Reminder Binder to ensure all student workers and staff are up to date with the current circulation events and practices.
The CRSS is expected to complete ALMA administrator training and develop expertise specifically in ALMA fulfillment administration.
Reserves Program Management
Adds and removes materials per faculty request.
Reviews with faculty members the materials they have on reserve.
Sends reminders to faculty about submitting their reserve requests before the start of every semester.
Stacks Maintenance
Coordinates/conducts shelf reading, inventory, and shifting as needed.
Searches for missing and overdue materials.
Collects items used in library and keeps record of quantity.
Assess the condition of materials, as appropriate, to send to technical services for repair.
Replace faded or missing barcodes and spines labels, as needed.
Visually surveys shelved collections for signs of damage or deterioration and follow established procedures in the event of collections damage.
Building Monitor Functions:
Is responsible for library closing procedures, including securing the main entrance of the building.
Is responsible for library opening procedures when applicable.
Updates operating hours signage on main library doors and at the circulation desk.
Ensures the building’s accessible door’s schedule is up to date and current.
Maintains and updates the libraries’ various operating hours calendars.
Steps in when needed to maintain reasonable noise levels at the library.
Does weekly checks of most library rooms and for damage and maintenance.
Student Supervisor Functions:
In addition to coordinating the fund budgeting, hiring, and assignment of student employees to library subdepartments, the CRSS
Trains student workers in one on one and group sessions.
Maintains and updates the student training manual as needed.
Notes areas in need of improvement for student employees and provides disciplinary action when needed.
Creates and maintains two student worker schedules Student Leads and Circulation Desk Assistants while considering the student worker budget.
Secures replacement or covers when student workers are unable to report for their shift. – Monitors and reviews student time sheets in eTime.
Provides semesterly evaluations for student workers and provides references as requested. – Assigns shelf reading, inventory, missing material searches, and other collection maintenance as needed to student workers.
Assigns and oversees graduate student worker projects (in collaboration with other staff and faculty in the library).
Selects subjects and assembles lessons, when appropriate for the Circulation Lead and Library Staff one-on-one mentorship program meetings.
General Library Responsibilities:
Submits work orders as needed for Lehman Library when appropriate/as backup.
Attends trainings, workshops, or conferences as scheduling and needs of the organization permit or as required.
Regularly collaborates and communicates with other library personnel on task planning where appropriate.
Maintain the library’s material security system:
o Cleans entry gates out at the end of each semester.
o Ensures desensitizing and sensitizing hardware is operating correctly.
Other duties as assigned.
Minimum Qualifications Candidates must have one of the following:
Four years of library-clerical work including two years of advanced library clerical work comparable to the Library Assistant II, and graduation from high school; OR
Two years of advanced library clerical work, and an associate degree or equivalent training with major course work in library science; OR
A bachelor’s degree.
