We have an excellent opportunity for a detail-oriented and organized Document Control Specialist to provide support on engineering projects within the procurement department.
Responsibilities:
The ideal candidate will be responsible for managing and processing technical engineering vendor documents efficiently while ensuring accuracy and compliance with company standards Retrieves and prepares a variety of documents, reports, correspondence, and other records from a number of internal sources and of various formats Maintains the recordkeeping system to ensure timely vendor document distribution to all relevant parties This role ensures that all engineering documents, including specifications, drawings, and reports, are systematically organized, validated, and controlled throughout the project lifecycle Works closely with engineers Provides support to procurement, as requested, with items such as preparing request for quote (RFQ) packages, updating reports, etc. Ensures accuracy of vendor data in the company’s internal database Prepares correspondence, reports, presentation materials, etc., based on instructions from management or design/engineering team members Coordinates annual meetings with potential vendors for bids on office supplies and equipment Maintains inventory and orders office supplies to ensure proper stock availability May require availability outside of normal business hours based on project needs
Qualifications:
Associate’s degree or higher in engineering Minimum of 5 years related experience supporting complex projects or administrative functions Experience with or knowledge of Vendor Document Control for engineering/procurement/construction management (EPCM) projects, highly preferred Experience with Bluebeam, Adept and Trello Savvy with technology and proficient in Gmail, Google Docs, Microsoft Word, and Excel Solid typing and data entry skills Excellent time management, project management, and organization skills Solid work ethic and ability to meet deadlines to ensure priorities are met Ability to work onsite 3 days per week (3505 East Frontage Road, Suite 300, Tampa, FL 33607)
