JOB DESCRIPTION

The Document Control Specialist Associate is a key player in our day-to-day operations. Paramount is looking for a reliable, organized, and time-management skilled individual to join our team. In this position, you will work alongside consultants, engineers, architects, and other construction industry professionals to maintain, follow up, assign tasks, and overall direct the flow of information to our internal staff and clients. As a Document Control Specialist Associate, your job duties include; but are not limited to, maintaining and organizing internal server and project-related documentation for our Forensic team. You will also be responsible for reviewing all incoming department correspondence and re-direct, creating, and following up on issued proposals and client inquiries. Additionally, the associate will also be responsible for auditing and reviewing employee timesheets and correlating billing information with customers’ billing statements to improve accuracy and timely processing. Document Control Specialist Associate will also monitor the project’s budgets on a weekly basis and report status to the supervisory team.

RESPONSIBILITIES
  • Create and follow up on issues department proposals and client service inquiries.
  • Collect and register all technical documents such as drawings and blueprints from clients’ databases and keep organized and updated in both company internal servers and client’s assigned accounts.
  • Handle project’s budgeting records across the forensic department.
  • Maintain confidentiality regarding sensitive documents.
  • Establish and maintain tasks and scheduled assignments according to established timelines.
  • Coordinate with department supervisor tasks and assignments for forensic consulting staff.
  • Monitor and report the project’s budget status on a weekly basis.
  • Improve and monitor the accuracy of clients’ billings and coordinate with the department manager for corrections and modifications. SKILLS

QUALIFICATIONS
  • Minimum 2-year degree, 4-year degree preferred
  • Minimum 1 year of experience in the construction industry
  • Familiarity with construction industry terminology
  • Computer proficiency required with MS Suite
  • Solid reading and comprehension skills
