Employees in this classification function at a moderately difficult generalist level and are accountable for the accuracy of both routine and non-routine administrative support duties performed as dictated by the nature of the department. Position may be assigned to a large department and perform a broad array of generalized administrative support functions, or assignment may be to a smaller specialized department wherein incumbents receive instruction in departmental functions. This classification requires strong organizational and interpersonal skills with the ability to carry out a variety of directed tasks. The role of Office Assistant in Community Risk Reduction provides routine administrative support to the division to include: Research, development of reports, correspondence generation, and appointment scheduling for the Division Captains and Fire Inspectors. Schedules and coordinates public education activities including station tours, car seat installation appointments, and safety talks. Support the Community Emergency Response Team (CERT) with personnel files, scheduling of Special Events, and other related functions. Ensures office coverage during normal business hours. Coordinates office and business communications. Assists with processing annual fire inspections and develops other reports as necessary. Scheduling and invoicing of the division’s Fire Watch details, overtime, fire-watches, and other reimbursable processes. Invoicing and processing of annual fire inspection, re-inspection fees and liens. Liaison to City Clerk’s Office, IT Department and other departments as needed. Serve as a backup to the Lobby Attendant. All other duties as assigned by the Division Captains. Typical Qualifications High school diploma/GED required. Two years of experience working in an administrative support position. An equivalent combination of training, and related experience will be considered in lieu of education requirement.
