Inspection Coordinator Job Summary:

We are seeking a highly organized and detail-oriented Inspection Coordinator to join our team. In this role, you will play a vital part in supporting inspection operations by coordinating schedules, communicating with customers and vendors, managing reports, and ensuring the smooth execution of inspection and service requests. Key Responsibilities:

Coordinate and schedule inspections in collaboration with customers, vendors, and internal teams. Confirm inspection dates, times, and scope of work with clients to ensure clarity and preparedness. Manage the Inspections Portal, including sending invitations, tracking participation, and ensuring accurate information entry. Dispatch inspection and service requests in a timely and efficient manner, ensuring proper documentation and follow-through. Maintain organized calendars and schedules for inspections, aligning efforts across internal branches and third-party vendors. Review incoming inspection reports for completeness, accuracy, and quality standards before distribution. Distribute finalized inspection reports to customers promptly and professionally. Manage and maintain a digital and physical inspection report database, including regular data backups and document organization. Provide general administrative support, including data entry, email correspondence, and document handling.

Qualifications:

Previous experience in administrative support, coordination, or scheduling roles preferred. Excellent organizational and time-management skills. Strong attention to detail and ability to handle multiple tasks simultaneously. Proficiency with Microsoft Office Suite (Outlook, Excel, Word) and digital file management systems. Experience with customer communication and service-oriented roles is a plus. Familiarity with inspection scheduling software or portals is a strong advantage. #AFTP123
