Under the Department of Commerce, the mission of the Division of Employment Security (DES) is to administer the unemployment insurance system for the state of North Carolina by delivering efficient, effective and qualify services.
Description of Work:
The Primary duties of the Administrative Associate II/Office Assistant is to provide clerical support and administrative assistance to the Paralegal/Chief Records Officer. Answer multiple telephone lines in a professional and expedient manner and refer calls accordingly, and to assign and validate claims cases using the SCUBI System. The Office Assistant will learn office processes and procedures and apply this knowledge in problem solving and responding to questions and inquiries. Possess significant knowledge of office or work unit procedures, methods, and practices; ability to be courteous and tactful in performing public contact and communication duties that may be sensitive in nature; ability to learn and independently apply laws, departmental rules and regulations in the performance of assigned duties; ability to use judgment in coordinating and monitoring office procedures and workflow as required by the position; must be able to accurately assign and validate cases using the SCUBI System, and handle claims cases and various assigned duties with minimal error, within applicable time limits; and file and maintain dockets and reports to ensure time limits are met. All of these duties must be performed with adherence to the confidentiality rules and regulations of the agency. Perform other duties as directed by the Paralegal-Advanced/Chief Records Officer to include but not limited to handling claims case matters as required, specified release of information requests, faxing, mailing, copying and stamping claims cases. Other duties may include assisting the Administrative Specialist I (Appeals Clerk) with Higher Authority Appeals work. The Administrative Associate II reports directly to the Paralegal-Advanced/Chief Records Officer. The work schedule for this position is Monday through Friday, 8 a.m.
