The Trusts & Estates Legal Administrative Assistant will be responsible for the following
Duties/Responsibilities:
- High-level, complex scheduling for multiple attorneys, which includes triaging and handling complex and confidential information
- Preparation and gathering of materials for all attorney meetings
- Must possess the ability to work well in a fast-paced environment, while managing and balancing multiple tasks and demonstrate problem-solving ability and initiative in finding workable solutions to complex scheduling
- Responsible for answering all incoming calls on attorneys’ direct lines
- Ability to comprehend complex materials and verbal instructions
- Utilize software to track and follow up on the status of ongoing matters
- Work with a team on tasks that include processing mail, review of executed documents for vaulting, serve as a witness during estate planning signings, and all other legal administrative duties as assigned Scheduling includes:
- Coordinate with clients, advisors, and referral sources to schedule virtual and in-person meetings with attorneys
- Review in-house attorney calendars to schedule virtual or in-person meetings for attorneys and colleagues
- Maintain and confirm attorney calendars are up to date regarding their availability (including noting holds and times offered out to meetings)
- Balance multiple (and often conflicting) holds and scheduling requests
- Follow-up with clients, advisors, and referral sources to confirm meeting times offered out
- Update calendars with meeting materials for attorneys’ review before/during meetings
- Circulate calendar invitations with Zoom, Dial-In or Address on meeting for all confirmed meetings
- Attend internal meetings with attorneys and associates to review status of matters
- Reserve conference rooms and visitor offices, set up Zoom or Teams meetings, and coordinate IT services and catering when needed
Experience, Skills & Qualifications:
- Trusts & Estates experience preferred
- Must possess communication skills and the ability to work well in a team, but must also be an independent thinker
- Strong organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
- Strong analytical skills and the ability to identify issues, troubleshoot problems, and offer practical solutions in a fast-paced environment
- Ability to handle sensitive client information with discretion and in compliance with legal and ethical standards.
- Ability to work well within a collaborative team environment, contributing to shared goals and maintaining positive relationships with both clients and colleagues.
