Job Description

Solicitor General Administrative Coordinator 2.9 2.9 out of 5 stars Richland County, SC Job Responsibilities Performs administrative duties for attorneys, including taking and transcribing legal dictation; processing and maintaining legal documents. Primarily assigned to the Solicitor General Division. Types briefs, correspondence, opinions, pleadings, and related forms and documents for the Solicitor General from handwritten drafts. Proofreads all outgoing correspondence related to those mentioned above. Maintains knowledge of current formats for legal forms and documents. Prepares various legal documents. Responsible for maintaining a record of monthly statistics regarding requests, opinions issued, and other resolutions. Send it to section attorneys for review. Enter the final numbers into the annual presentation document and send quarterly data to the Chief Deputy’s Executive Assistant regarding pending opinion requests. Monitor several newspapers and TV stations for articles related to opinions or court filings by the Attorney General. Save articles to the section’s presentation document and draft a brief summary. Upload the opinions mentioned in the articles to the document. Under limited supervision, coordinates the administrative functions of the Opinions Section. Picks up mail daily from the Support Services Division, processes it, and distributes it the same day, and handles daily outgoing mail through the Support Services Division. Responsible for scheduling pickups and deliveries to and from other State agencies, picking up incoming faxes, and preparing and transmitting outgoing faxes. Prepares and maintains both a manual and computerized filing system. Maintains a written calendar of schedules, appointments, and filing deadlines for the Solicitor General. Receives inquiries via telephone, written correspondence, or fax from public officials, legislators, etc., regarding opinion matters and provides information or refers to section attorneys if necessary. Serves as backup to process office mail by opening it, determining the appropriate staff to receive it, logging it in the Attorney General Mail Log, and distributing it to designated staff as needed. Notifies the Director of Administration when unable to process office mail due to other work priorities, annual leave, or sick absences. Assists the Solicitor General’s Section as needed and when time permits. Performs other related job duties assigned by supervisors and the Chief Deputy Attorney General. Knowledge of policies, procedures, rules, and regulations related to the specific administrative function. Knowledge of government fiscal and personnel procedures, practices, and policies. Knowledge of current office practices, procedures, and equipment. Ability to coordinate diverse administrative functions. Ability to establish and maintain effective working relationships. Ability to plan, organize, and supervise the work of subordinate personnel. Ability to communicate effectively. Must possess knowledge of Microsoft Word and have strong computer skills. Must be well organized and be able to prioritize multiple demands. Requires excellent typing skills and excellent organizational skills. Must understand legal terminology and processes. Must be able to meet deadlines and handle ongoing time-sensitive matters. Must be able to maintain extreme confidentiality and professionalism. Additional Comments
