Tampa, FL Job Overview:

We are looking for a highly organized and detail-oriented Legal Administrative Assistant to join our team. The successful candidate will handle various administrative tasks to support our legal department. This role demands excellent communication skills, multitasking abilities, and a solid understanding of legal procedures.

Primary Responsibilities:
Calendar Management:

Effectively manage and maintain the calendars of legal professionals, ensuring all appointments, meetings, and deadlines are accurately scheduled and updated.

Scheduling:

Coordinate and schedule meetings, conferences, and other events, ensuring all necessary arrangements are made.

Travel Arrangements:

Organize travel plans, including flights, accommodations, and transportation for legal team members.

Trust & Estate Documents:

Assist in the preparation and organization of trust and estate documents, ensuring accuracy and compliance with legal standards.

Timekeeper Entries:

Accurately record and manage timekeeper entries, ensuring all billable hours are properly documented.

Conflict Checks:

Conduct conflict checks to ensure there are no conflicts of interest in new cases or client engagements.

File Management:

Handle the process of opening new client files, ensuring all necessary documentation is completed and filed correctly.

Qualifications:

Proven experience as a Legal Administrative Assistant or in a similar role. Strong organizational and time management skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite and legal software. Ability to handle sensitive information with confidentiality. Detail-oriented with strong analytical skills. Ability to work independently and as part of a team.

Education:

High school diploma or equivalent; additional qualifications as an Administrative Assistant or in legal studies will be an advantage.
