Opportunity An Administrative Assistant will play a crucial role in the legal department by ensuring the smooth and efficient operation of the department. Duties typically include a variety of administrative, organizational, and clerical tasks

Responsibilities:
Document Management Prepare Legal Documents:

Draft, proofread, and edit legal documents such as contracts, memorandums, pleadings, and other correspondence.

File Management:

Organize and maintain physical and digital files for easy retrieval. Ensure that all documents are properly stored and in compliance with legal regulations.

Document Filing and Retrieval:

Manage the filing system to ensure that documents are correctly labeled and easily accessible.

Maintain Confidentiality:

Handle sensitive legal documents and information with confidentiality and in compliance with data protection laws. 2.

Scheduling and Calendar Management Set Appointments:

Schedule meetings, hearings, and depositions for attorneys and legal staff.

Coordinate Court Dates:

Track and organize court dates and deadlines, ensuring that all required filings are completed on time.

Maintain Calendars:

Keep track of important dates, including deadlines for filings, meetings, and other legal proceedings. 3.

Communication Answer Phones and Emails:

Respond to phone calls and emails from clients, attorneys, and external parties, redirecting inquiries as needed.

Coordinate Communication:

Serve as a liaison between attorneys, clients, courts, and other parties.

Prepare Correspondence:

Assist in drafting letters, emails, and notices related to legal matters. 4.

Legal Research Assistance Conduct Research:

Perform basic legal research under the guidance of attorneys, including finding case law, statutes, regulations, and other legal references.

Prepare Reports:

Summarize research findings for attorneys and legal staff. 5.

Billing and Invoicing Track Billable Hours:

Assist with tracking time spent on various tasks and preparing billing statements for clients.

Manage Accounts:

Assist with invoicing clients, following up on overdue payments, and maintaining financial records. 6.

Client Interaction Client Communication:

Greet clients and visitors, handle inquiries, and schedule appointments.

Prepare Client Materials:

Prepare client files, contracts, and other materials needed for meetings or legal proceedings. 7. Administrative Support for

Legal Staff Assist Attorneys:

Provide general administrative support to legal professionals, including preparing for trials or meetings, organizing case files, and performing office tasks.

Team Coordination:

Work with the legal team to ensure everyone has the documents and information needed for upcoming tasks. 8. Compliance and Regulation Assist in

Compliance Tasks:

Help ensure that the department’s activities comply with legal and regulatory requirements.

Keep Track of Licensing:

Assist with the renewal of professional licenses and memberships, such as bar association registrations. 9.

Other Duties Data Entry:

Enter and update data in legal management systems.

Travel Arrangements:

Arrange travel and accommodations for attorneys or legal staff when necessary.

General Office Support:

Order office supplies, manage office equipment, and keep the legal department’s space organized. Being detail-oriented, well-organized, and having a strong understanding of legal terminology and procedures are essential for someone working as an administrative assistant in a legal department.

Qualifications :

Minimum of 3 plus years of experience Meticulous attention to detail and exceptional organizational skills. Proficiency in using Asana software and other relevant tools, including contract management software In-house position only
