Legal Assistant Patrick, Harper & Dixon LLP Hickory, NC 28603
Overview:
The firm is seeking a legal assistant to support the firm’s Estates practice. The right candidate is interested in being an integral part of the firm’s team, working full time in the firm’s Hickory office, and handling a variety of responsibilities and competing priorities. Responsibilities can vary by day and may include:
- managing the life cycle of estate planning clients experience with the firm, by utilizing file management software and client communication tools to ensure smooth, timely service;
- administrative support for estate planning, estate administration, guardianship, elder law, special needs law, and trademark matters for both attorney and paralegals assisting with such matters;
- new client intake, conflict check, and file setup;
- scheduling client meetings and hearing dates and calendaring and monitoring case/matter deadlines;
- correspondence with prospective and current clients, court officials, government offices, and attorney offices, by phone, email, and mail;
- maintaining and organizing paper and electronic client files, including initial setup and closure;
- copying and scanning; data entry of client information in software;
- preparing correspondence, various legal documents, and pleadings from template or attorney instruction;
- submitting filings to Clerk of Court offices, E-recording documents via Simplifile, and e-filing documents with North Carolina Secretary of State;
- entering expenses, requesting checks, and managing deposits and disbursements from client trust accounts within billing software on a daily basis;
- submitting billing statements to clients and accepting payments;
- notarizing and/or witnessing estate planning documents (Wills/ Trusts, POAs, etc.); and,
- assisting other office staff as needed with duties such as answering phones and acting as backup legal assistant for other attorneys.
Experience:
The successful candidate has:
- Fluent in Spanish
- Prior experience in the areas of estate planning, estate administration, and business formations is strongly preferred, but strong willingness to learn would be considered
- Excellent organizational skills
- Ability to work in a fast-paced environment and manage high-volume workloads
- Excellent interpersonal and customer service skills; a sense of humor helps!
- Proficient with Microsoft Word and Excel, MS Teams experience preferred BONUS experience: Current NC Notary Public, or willing to obtain Notary after hire if not currently certified (certification covered by employer) This position offers the opportunity to work in a dynamic law firm environment where your skills will be valued and developed.
