We’re rapidly expanding and we need great people to join our team. The Legal Assistant provides direct support to the Legal Department and internal clients on a broad range of legal topics. This position is responsible to oversee the administrative functions of the department and provide support to the attorneys and other legal counsel. •

ESSENTIAL JOB DUTIES/RESPONSIBILITIES

•+ Reviews, prioritizes, delegates and follows up on incoming issues and concerns submitted through the Legal inbox and ServiceNow portal site, ensuring tasks are completed in accordance with quality guidelines. Recommends appropriate course of action when applicable or delegates as deemed appropriate based on subject matter, expertise or involved party. + Provides support on various ongoing legal and special projects at the direction of the attorneys, including, but not limited to: audits, risk assessments, organizational restructuring and provides updates and communicates to COEs affected as deemed necessary. + Supports Legal COE’s initiation and management of visa cases for all sponsored foreign national employees in accordance with USCIS guidelines to obtain work authorization and ensure compliance throughout employee’s tenure. + Acts as a liaison between outside legal counsel on certain legal matters such as immigration and civil lawsuits. Reviews all filing materials prepared by outside counsel for accuracy and oversees management of cases while remaining attorneys informed of progress. + Responsible for corporate governance matters for 100+ domestic related or affiliated entities and subsidiaries including (i) filing the necessary initial filings or amendments with the state; (ii) drafting minutes and board of directors meetings; (iii) creating and maintaining corporate books; (iv) drafting necessary documentation; (v) preparing, processing and maintaining any other regulatory filings (i.e. state qualification filings). + Reviews, tracks and triages legal department invoices for approval and allocation and processes them for timely payment while maintaining a log of expenses based on subject matter for yearly review. + Manages the legal department’s calendar which includes scheduling calls, meetings, conferences and department activities for all members of the department while assisting attorneys with managing scheduling conflicts and time management concerns based on priorities. + Coordinates the depositions of employees for litigation matters as well as non-party claims and reviews subpoenas for accuracy. + Manages the Legal Department’s administrative tasks which include scanning, copying, preparing mailings, ordering office supplies, receiving and dispersing mail, addressing technical issues with IT, filing, answering phones and keeping detailed messages. + Performs other duties as assigned and modified at manager’s discretion.

EDUCATION / SPECIALIZED KNOWLEDGE REQUIREMENTS

+ Associate’s degree is required; Bachelor’s degree in relevant field preferred + Paralegal certification or one to two years of related experience and/or training; or equivalent combination of education and experience + Minimum one (2) year of previous experience as a paralegal (in-house preferred) + Proficient in Microsoft Office suite (including Outlook calendar management) We’re ChenMed and we’re transforming healthcare for seniors and changing America’s healthcare for the better.
