The ideal candidate will have a strong background in administrative support, with experience as a paralegal or legal assistant strongly preferred . This role requires excellent communication skills and the ability to manage multiple tasks efficiently while providing exceptional support to our team.
Responsibilities:
- Coordinate in office events
- Facilitate Onboarding
- Coordinate reception desk coverage
- Monitor office equipment & all systems
- Maintain petty cash
- Monitor closed file inventory
- Maintain firm extra laptop inventory
- AMEX approve for use by staff to pay for billable costs (and related accounting loose ends)
- Maintain current list of attys’ login credentials for courts & circulate to staff& work w/accounting
- Coordinate deliveries & pickups
- Empty desk/workspaces of employees who leave & route any materials left to new handling team
- Maintain current seating chart & Organizational Chart
- Add/remove parking passes & maintain sufficient guest passes
- Facilitate buildout meetings
- Train new GL paralegals & provide binders
- Monitor new staff members for 30 days, eval thru near 90 days
- Monitor existing staff billing & performance issues
- Gather Resumes & interview
- Supervise file clerks, receptionist & subpoena clerks
- Assist as Para on GL teams as needed
- Create implement & monitor workflows & protocols, modifying as needed
- Receive & route/handle emails to all former employees
- Misc tasks by accounting, marketing, HR & firm admin
- Maintain backup buddy pairings, team assignments, remote schedules
- Route & calendar staff Performance Appraisals
- Oversee/maintain Miami Trial List This position is a full-time, in-office position.
Mon-Fri, 9am-5pm.
