  • Remote Dodd DelCollo LLP, has a great opportunity for an experienced Florida Calendar Clerk/ Case Assistant (hybrid position) to join our team.

This position is temporary (but only those who can transition to full-time perm should apply). Must be tech savy.

Position Purpose :

Provides administrative support to attorneys. This is a hybrid position for an experienced Calendar Clerk/ Legal Assistant. Legal Assistant a/k/a Case Assistant, e-file documents with Courts within a specific time period and serve legal documents to the appropriate parties. May work directly with clients in a non-legal advising capacity, such as answering questions, scheduling appointments, and making sure all court requirements are met. Calendaring Clerk’s utilize our Case Management system to enter deadlines, schedule and confirm appointments, depositions, examinations, site inspections etc., and maintain the case calendar for several attorneys in a busy and growing law firm. Calendar Clerks review documents for any deadlines, and review and respond to emails pertaining to calendaring/ scheduling. Case Assistants and Calendaring Clerks, represent the firm by supporting attorneys and providing outstanding customer service as well as, accurate follow-through actions for all inquiries and referrals.

Roles and Responsibilities Calendaring Clerk:
  • Maintaining the case calendar, including creating and modifying as necessary all appointments and reminders related to depositions/examinations before trial, court appearances, etc.
  • Scheduling, confirming, canceling and rescheduling depositions/examinations before trial, which includes communicating with clients, counsel for other parties, claims professionals, third-party witnesses, and court-reporting vendors and videographers.
  • Schedule motion hearings (in applicable jurisdictions).
  • Communicate with per diem counsel (checking and confirming availability, etc.).
  • Conduct calendar meetings in the applicable jurisdictions to confirm coverage of court appearance and depositions.

Must have expierence in CourtMaps, JAWS, CMS, et al. Reviews and analyzes information provided by clients, client representatives, other parties and their counsel, court personnel, and various jurisdictional websites. Assist with firm’s calendar email, to input dates scheduled by the court. Calculates and determines deadlines for court filings and appearances, service of documents, and other events and activities. Monitors and assists with maintenance of case calendar by scheduling matter events, Inputs information regarding case status and assigned tasks into case management software. Answers questions and supplies detailed information on the phone. Performs a variety of routine clerical activities and other duties as assigned. Familiarity with court websites and knowledge of court rules, deadlines, and procedures in Florida required. Roles & Responsibilities for

Case Assistant :

Research Court rules, compile, review, reconcile, and/or maintain and update a variety of information and records related to case files, clients and other contacts Input information into case management software E-file and/ or serve correspondence(s), pleadings, motions, discovery and settlement documents Save and organize material(s) for team members review Draft, review and transmit introduction and preservation letters to insured(s) Must have strong communication skills, both oral and written Assist attorneys with hearing, mediation, arbitration, and trials, administrative preparation for same by organizing, assembling marking key documents, and transmittal of documents applicable) Receive and process information requests, registrations, forms, orders, notices, and/or other related information and correspondence Submit invoices in a timely manner Submit records for medical or radiology examination(s) Contact process serves when needed Save, sort, and maintain materials using the firms document management system Process mail using the firms document system management system and advise teams of same Maintain and assist the firm’s claim file email by downloading the claim files and following up with the claims professionals if required Assist the medical records department with overflow work such as downloading records and monitoring status of requested records when needed Assist team members with overflow work and mail Take part in team meetings

Qualifications/Experience :

Prior experience e-filing in Florida required (minimum 3 years) . Prior experience Calendaring in Florida required (minimum 3 years) . JAWS, CMS, CourtMaps expierence required. Associate degree in a related field (such as legal assisting, law enforcement, or human services) or commensurate experience Minimum 3 years of related experience Experience in insurance defense litigation a plus Strong attention to detail Knowledge of Court Deadlines in Florida Interpersonal skills necessary to develop and maintain effective and appropriate working relationships with clients, co-workers, and representatives of other agencies Strong verbal and written communication skills, and the ability to effectively communicate over the phone and via email Good decision-making skills and the ability to function well under stress while working in a fast-paced deadline driven environment General knowledge of applicable subject areas, including court rules and procedures, deadlines and the ability to learn relevant terminology, policies, and processes Must be a highly motivated self-starter with excellent research and analytical skills and be proficient in all Microsoft Office products (including Outlook, Word, Excel, and PowerPoint) and in using web-based applications Prior Case Management Software experience a plus Tech savvy candidate Ability to handle multiple tasks concurrently and deal with interruptions Ability to consistently demonstrate sound ethics, good judgment and maintain confidentiality court hearings Prepare and file legal documents with the appropriate courts or agencies

  • Coordinate with clients, witnesses, and other parties involved in legal proceedings
  • Transcribe dictations and prepare accurate written transcripts
  • Proofread legal documents for accuracy and completeness
  • Assist with trial preparation, including organizing exhibits and witness lists
Requirements:

Proven experience as a Legal Assistant or similar role Strong knowledge of legal terminology and procedures Excellent research skills and ability to gather relevant information from various sources Ability to manage multiple tasks and prioritize work effectively Attention to detail and strong organizational skills Strong written and verbal communication skills Proficient in data entry and maintaining accurate records Ability to work independently as well as part of a team Familiarity with contract law and basic project management principles is a plus
