Job Description

Estate Planning Paralegal Thomas & Webber Mooresville, NC Responsible for preparing estate plans and overseeing cases in estate planning department Description Position Overview Thomas & Webber, PLLC is seeking a highly motivated and skilled Estate Planning Paralegal who believes: Details matter. Our tight-knit estate planning team currently comprises four attorneys, one legal assistant, and an administrative assistant. To be successful, the ideal candidate will have a strong background in estate drafting, excellent communication skills, the ability to work independently, acute attention to detail, a well-attuned understanding of client needs, and a proven ability to convey the value of our services. This is a full-time, in-office position where you will help guide clients through the estate planning process, address objections, and ensure that every plan is completed successfully. As needed, the paralegal will also be expected to provide backup administrative assistance, client communications, and support marketing events. A successful candidate will contribute to our business, and help it grow organically, giving the firm the capacity to take on more clients.

Key Responsibilities Client Education & Professional Interactions:

Friendly engagement with clients via phone, email and in person, to retrieve data, provide timely follow-ups, and ensure all required information has been collected from client in coordination with completing their specific Estate Plan.

Document Preparation:

Utilize estate planning software to generate accurate documents based on client preferences, drafting any additional ancillary documents, and ensuring all necessary details are captured before review by team attorneys.

Case Management:

Organizing and maintaining case and client files within the practice management system to effectuate 60-day signing goals and 30-day drafting goals, along with tracking deadlines and managing calendars as they relate to upcoming deadlines and signings.

Client Service:

Assist with clients as needed, including serving as witness and/or notary to document execution, scanning and processing client documents, preparing correspondence and filings, etc.

Trust Funding Guidance:

Support clients by providing instruction in coordinating asset transfers and ensuring proper trust funding for a fully implemented estate plan.

Value Communication:

Confidently discuss the estate planning process with clients, overcome objections, and clearly communicate the value of completing their estate plans. Experience and Qualifications 3+ years of experience in estate planning, Trusts and estates, or elder law Strong communication skills, including written and verbal, with impeccable spelling and grammar, with the ability to clearly explain complex concepts Proficiency with estate planning software (e.g., WealthCounsel, Lawyer on Purpose, or Clio) along with Microsoft Windows, Word, Excel, PowerPoint, and Outlook Project management skills, including the ability to manage multiple clients and tasks independently while maintaining a high level of organization and attention to detail Experience in addressing client objections and articulating the benefits of professional services Certified as a North Carolina Notary Public or willing to gain certification. Preferred Skills Bachelor’s degree from an accredited college or university. Preference may be given to those with focused studies in English, Journalism, or other writing-focused studies. Associate’s degree in paralegal studies, or similar field of study. Positive attitude and proactive personality with excellent interpersonal skills, including a desire to interact and maintain professionalism with clients, attorneys, staff, and other professionals Meticulous attention to detail with high level of organization and the ability to multi-task, prioritize tasks, handle multiple projects simultaneously, and adapt quickly in a fast-paced environment Above-average computer skills; Must be able to learn and operate the firm’s other software applications (Adobe Acrobat, Lawcus, etc.) on an advanced level within a reasonable period; Typing skills of 80+ wpm Ability to work, problem solve, and find solutions independently and as part of a collaborative team Ability to follow established processes/systems, but also identify inefficiencies and suggest improvements Ability to sit and work on computer-based programs for up to the majority (80-90%) of the workday •A cover letter and/or writing sample is not required for this position but will be favorable when considering applications.
