$18-25 hr. Work location/schedule:

In person Monday through Friday, 8:30 a.m. to 5:00 p.m. However, there is flexibility to work from home on an as-needed basis. Part-time position subject to alternative schedule.

General Summary:

We expect our staff to be highly organized, handle pressure well, understand the importance of deadlines, and act with the utmost integrity. This position manages attorneys’ calendars, handles new client intake, coordinates appointments and meetings for attorneys, manages and coordinates electronic and in-person filing, updates clients, maintains proper workflow, assists with billing invoices and distribution, and time entry, as well as performs general administrative tasks related to the day-to-day operations of the law practice. The ideal candidate must be comfortable working independently, managing competing priorities, be customer service-minded, proactive, a team player, and have a sense of urgency.

Principal Responsibilities:

Perform administrative duties: answer the phone, process incoming/outgoing mail, calendar hearings and deadlines, organize case files, and manage logistics. Handle new client intake; Maintain attorney’s calendars and monitor deadlines; Maintain and organize electronic files; Prepare and send correspondence to clients and third parties (e.g., enclosure memos, certificates of service, rule 45 letters, subpoenas); Assist with creating and maintaining pleadings and discovery notebooks; Organize exhibits, documents, evidence, briefs, and appendices; Aid attorneys and paralegals in gathering relevant case information from a variety of sources; Liaison between the firm and external third parties; Assist with billing. Requirements Previous experience in a legal assistant role or similar position is preferred; Previous family law or real estate experience is preferred; Applicable knowledge and proficiency in legal terminology and procedures (e.g., court rules, procedures, practices, etc.); Highly organized with the ability to juggle multiple deadlines in a fast-paced environment; Strong written and verbal communication skills. Listens actively to what others are saying to achieve understanding. Computer skills:

Must be adept in Adobe Acrobat and Microsoft Office applications, particularly Excel and Word. Experience with Google Workspace, Clio Manage, Mac (Apple) based operating systems, legal research platforms, and e-discovery preferred. Previous experience with real estate settlement software preferred (e.g., SoftPro, E-Closing, Qualia, etc.). Notary Public preferred. Fluency in written and spoken Spanish is a plus.
