Schedule:

37.5 hours/week, within the hours of 8:30am-6:00pm, with overtime when necessary. This position is for a commercial law firm with a focus on growth-oriented businesses and various financial organizations that provide capital to such businesses. Its clients are local, regional, national and global, and range from start-up and early-stage technology companies to established growth companies, both privately-owned and publicly-held. The firm handles financial and corporate transactions, commercial litigation and other legal needs of these businesses.

What You’ll Be Doing:
Legal Document Expertise:

Craft, revise, and manage legal documents like a pro, using Microsoft Word, Excel, PDF Docs, and DocuSign. (Yes, we’re talking serious word processing skills!)

Organization Guru:

Keep our files and documents in tip-top shape, following firm guidelines and practice area procedures and take the initiative to streamline and improve workflows.

Attorney Support:

Coordinate day-to-day operations, taking initiative and using your awesome judgment to keep things running smoothly and address potential issues.

Time & Billing Liaison:

Handle time entries for select attorneys (entry to finalizing) to meet monthly deadlines and work with our billing team to ensure accuracy with billing matters.

Calendar & Travel Coordination:

Manage calendars, book travel, and coordinate meetings and events.

Project Pro & Information Sleuth:

Juggle multiple projects with tight deadlines and adapt to changing priorities like a champ. Use your detective skills to ferret out details and information from various sources, piecing together the puzzle that keeps assignments and projects on track.

Tech Savvy:

Utilize various software and tools to support our team’s efficiency (think scanning, DocuSign bulk send/bulk uploads, Litera/Workshare Compare, Box, and more!), and take the initiative to learn new technologies and find solutions to technical challenges.

Team Collaborator & Self-Motivated Contributor:

Assist with special projects and other duties as needed, always with a positive and proactive attitude, and contribute meaningfully by taking ownership of your tasks with a high level of self-motivation.

What You Bring:

A minimum of 2 years of experience as a legal, administrative, or executive assistant, ideally in a law firm or professional services setting. Bachelor’s degree preferred Bonus points for knowledge of Corporate/Transactional or M&A Law! Advanced proficiency in Microsoft Office (Word, Excel, Outlook) – your Word skills should absolutely be top-notch! Expertise in PDF manipulation software (Adobe or PDF Docs). Experience with document management systems (iManage, Elite 3E, File Trail are a plus). Exceptional organizational skills and a keen eye for detail. Strong proofreading abilities. A proactive, energetic, and team-oriented spirit. Excellent interpersonal and communication skills. The ability to stay cool under pressure and handle confidential information with discretion. Ability to work onsite, Monday through Friday, 37.5 hours per week, within the hours of 8:30am-6:00pm, with overtime when necessary. (

Preferred:

8:30am – 5:00pm or 9:00am – 5:30pm) Ability to perform standard office related physical tasks. (i.e., prolonged sitting, standing, repetitive finger motion, computer usage, routine walking, bending and lifting up to 20 lbs.
