Full Job Description Responsibilities:
Legal Document Management:
- Create, format, edit, and proofread legal documents, including briefs, pleadings, contracts (AIA and custom), and correspondence.
- Prepare and manage document shells, notebooks, and exhibits for motions, discovery, and trials.
- Maintain organized paper and electronic client files, including pleading indexes within the document management system (Worksite/Filesite preferred).
Court Filings and Processes:
- File legal documents with state and federal courts, demonstrating proficiency in e-filing.
- Maintain accurate records of court procedures and deadlines.
Administrative Support:
- Manage attorney calendars, emails, and contact lists using Outlook and CRM systems.
- Coordinate and schedule meetings, depositions, and conference calls.
- Handle administrative tasks, including conflict checks, matter opening/closing, expense reports, time entry, and travel arrangements.
- Prepare engagement letters.
- Support business development efforts.
Technical Proficiency:
- Utilize technology resources to optimize team efficiency.
- Demonstrate advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, PDF).
Required Qualifications:
- Minimum 5 years of legal secretarial experience in a law firm, with preference for litigation experience.
- Minimum 2 years of experience working on construction-related legal matters.
- Proven experience with e-filing in state and/or federal courts.
- Strong understanding of legal terminology, documents, and procedures.
- Proficiency in Microsoft Office Suite.
- Experience with document management systems (Worksite/Filesite preferred).
- Excellent typing, proofreading, and communication skills.
- Ability to manage multiple priorities and work under pressure.
- High school diploma or GED required; associate degree or certificate preferred.
- Flexibility to work overtime as needed.
