Position Summary:
The Paralegal / Legal Administrator will support our Legal Department with a broad range of responsibilities, including lease and contract administration, due diligence, corporate governance, litigation support, and regulatory compliance. This is an excellent opportunity to work closely with in-house counsel and executives at a dynamic, fast-paced commercial real estate firm.
Key Responsibilities:
Draft, review, and manage lease documents, lease amendments, SNDAs, estoppels, and other legal agreements. Abstract and analyze key lease terms including rent structures (base, percentage, promotional), co-tenancy clauses, exclusive/prohibited uses, and landlord/tenant obligations. Maintain and update lease administration and legal tracking systems to monitor critical dates such as rent commencements, lease expirations, option periods, co-tenancy triggers, and renewal/termination rights. Verify and track lease-related calculations including escalations, CAM charges, taxes, percentage rent thresholds, and free rent periods. Monitor and manage lease contingencies, including delivery conditions, tenant improvement periods, and obligations tied to grand openings or rent commencements. Ensure timely execution and proper filing of lease documents; follow up with tenants, brokers, and internal teams as needed. Assist with tenant default notices and enforcement actions related to non-payment, unauthorized use, or other lease violations. Assist with corporate legal functions including entity formation, annual filings, and governance documentation across multiple jurisdictions. Support litigation management by coordinating with outside counsel, collecting documents, and responding to subpoenas and discovery requests. Respond to legal inquiries from internal departments (leasing, finance, asset management) to address lease interpretation issues, tenant compliance, and operational concerns. Monitor legal compliance and manage timely filings for licenses, permits, and other regulatory obligations. Identify opportunities for process improvements in legal workflows, including template updates, automation tools, and policy enhancements.
Qualifications:
Bachelor’s degree required; Paralegal certificate or equivalent experience strongly preferred. 3+ years of relevant legal experience, preferably in commercial real estate or with a real estate law firm. Strong understanding of commercial leasing, real estate transactions, and contract management. High level of attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office Suite; experience with property management platforms (e.g., Yardi) a plus. Excellent written and verbal communication skills.
