Closing Date 06/20/2025 JOB GOAL Responsible for coordinating and performing a diverse set of support tasks to ensure the transportation department and its facilities have the resources needed to operate smoothly and efficiently. Understands and follows procedures in accordance with system policies and regulations, ensuring that operations within the department are carried out with the highest level of quality. Essential Duties & Responsibilities Performs administrative duties within the clerical support system, including the receipt and filling of exception reports, daily statistics, personnel action forms, and data collection.
Recommends improvements in workflow, procedures, and use of equipment and forms.
Provides excellent customer service to internal and external stakeholders, communicating with staff at all levels and with the public.
Manages correspondence, including e-mails, phone calls, letters, and visitors; answers routine and some complex inquiries and obtains and furnishes information on behalf of supporting executives.
Assists with the review of payroll to include inspection for audit review.
Reviews and monitors software to ensure that all field trips have been entered properly and billed correctly.
Reviews and monitors the available software to assist in the resolution of various issues, such as unsafe stop request, start dates for new stops, and driver incident complaints.
Follows correct procedures in reporting accidents and handling crisis.
Schedules and maintains calendars of department activities, meetings and coordinates related arrangements.
Organizes and prepares complex documents requiring the integration of multiple office technology and software applications.
Produces correspondence, reports, charts, presentations, and other materials using numerous data management techniques.
Participates in the selection of staff; provides or coordinates staff training; works with employees to ensure quality performance.
May oversee some administrative functions for the office.
Performs other related duties as assigned

MINIMUM REQUIREMENTS
Knowledge, Skills & abilities Knowledge of and ability to acquire an understanding of state public school laws, and board policies and guidelines concerning the operations of school buses
Considerable knowledge of safe and efficient practices and procedures used in the operation of a school bus.
Considerable knowledge of traffic laws, school bus, and safety regulations
Ability to provide leadership to co-workers and staff
Ability to make effective and immediate decisions under pressure with proper levels of accountability.
Ability to maintain up-to-date knowledge of available hardware and software.
Ability to understand and explain various TIMS reports
Ability to maintain complete and accurate records and to develop meaningful reports
Must be detailed & task oriented
Strong problem solving and critical thinking skills
Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media
Operating knowledge of computer programs, including email, word processing, spreadsheets, and databases
Excellent time management skills and ability to organize, prioritize, manage, and carry out duties efficiently and within established timeframes
Ability to establish and maintain collaborative working relationships with all stakeholders Education, Training & Experience High school diploma or G.E.D.
3 years clerical/secretarial experience or training in office administration or related experience
3 – 4 years customer service experience OR Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position Certificates, Licenses & Registrations Must possess or be eligible to obtain a valid North Carolina driver’s license. Preferred qualifications Associates or bachelor’s degree with emphasis in business, logistics and/or transportation management
5 years of administrative, clerical and/or secretarial experience in a public-school transportation setting
