As our business continues to grow, we are looking for an experienced Warranty Administrator with service writing skills —someone who understands the ins and outs of ESP (Extended Service Plan) claims and has a solid background in customer service and repair documentation.
Position Summary:
This role combines warranty processing with service writing responsibilities. The ideal candidate will have hands-on experience working with extended warranty companies (ESP), writing estimates, and working closely with technicians, manager and customers. You will be responsible for handling claim submissions, coordinating with ESP providers, and ensuring all repair orders are properly documented and approved.
Key Responsibilities:
Inspect vehicles alongside technicians to identify needed repairs. Write clear and accurate repair estimates including labor times and parts. Submit warranty claims to extended service contract companies (ESP) with all supporting documentation. Follow up on claim status and ensure timely approvals and payments. Communicate with customers about warranty coverage and out-of-pocket expenses. Prepare a separate list and estimate for repairs not covered under warranty. Coordinate parts orders and returns as required by ESP or manufacturer policies. Help manage workflow by reducing delays caused by incomplete paperwork or denied claims. Provide exceptional customer service at the front counter and over the phone.
Qualifications:
1-3 years of experience in an auto repair shop, dealership, or service center. Strong knowledge of ESP procedures and warranty claim processing. Experience as a service writer or service advisor. Proficiency with shop software (e.g., Mitchell, Shop-Ware, RO Writer, or similar). Excellent organizational and time-management skills. Ability to clearly explain technical information to customers. High school diploma or equivalent; technical training or ASE certification is a plus.
