Description of Work This position performs a variety of administrative tasks in support of the NCDOT Ferry Division Facility and Marine Maintenance office in Harbinger, NC. This position assists Facility and Marine Maintenance management and field employees through entering timesheets, creating travel vouchers, processing receipts, assisting in the inventory of facility and marine maintenance equipment/materials, and keeping organized records of various documents including invoices and contracts. The employee will spend the majority of the workday in an office setting using various programs and technologies to support the work production of the overall work unit and would use SAP software to complete many of the tasks. Work requires knowledge and use of office equipment­ copier, scanner, and computer. Employees would also be expected to assist with routine office maintenance including, but not limited to, cutting grass, ordering office supplies, performing inspections, and taking fuel measurements and sending associated reports. This position reports directly to the Environmental Program Supervisor. The employee in this role must be an independent worker capable of making routine decisions. Work duties could increase in complexity, or be altered, to better suit the strengths and interests of employees in the unit. Duties include but are not limited to:

Administrative:

Enter and retain timesheets for all applicable employees within Facility and Marine Maintenance Create travel and meal vouchers by following NCDOT policy and procedures and using SAP to complete work Charge out field employees’ equipment that is used throughout the workweek Process material purchase receipts and coding to the appropriate work order and accounting location Process and retain records of regularly occurring invoices, contracts, and inspections
Ordering of office supplies and other equipment and material needed by personnel Office /

Field Maintenance:

Facility inspections to ensure the building follows NCDOT or other agency safety regulations
General maintenance of the office facility including but not limited to yard maintenance, fuel measurements, cleaning of interior, collecting mail and opening invoices as needed Equipment /

Material Tracking:

Tracking of equipment and material inventory levels including the charge out of materials through SAP
Coordination with local Equipment Unit for equipment maintenance needs Acceptance and inspection of inventory deliveries Knowledge, Skills and Abilities / Competencies Applicants must submit an application that clearly reflects work experience that demonstrates the following:

  • Demonstrated ability to use correct grammar, spelling, punctuation, and specialized vocabulary
  • Demonstrated ability to use office equipment and other technology (software and systems) to meet work needs.
