Responsibilities This position reports to the Director, Business and Financial/Auxiliary Services, Facilities, Planning, Construction & Safety (FPC&S). The incumbent manages the Procurement, Warehouse, Service Response Center and Inventory Management, ensuring that the goals and objectives for FPC&S departments which include Plant Operations and Maintenance (POM) Facilities, Planning & Construction (FPC), Environmental Health & Safety (EH&S), Venue Management, Business Affairs and Associate Vice President for FPC&S are communicated and achieved; and responsible for complying with all applicable rules, regulations and laws. This position is directly responsible for planning, organizing, and implementing daily activities as follows; Responsible for formulating and implementing business and procurement policies and procedures for departmental purchases, warehouse operations, service response and inventory management; Ensure that all relevant University Regulations and Internal Operating Procedures are communicated and distributed to subordinates; Measures of accountability for compliance are employed; Assess and document compliance and performance evaluations in a timely manner for each subordinate, in accordance with University Regulations and Internal Operating Procedures; Manage and administer continuous employee training, and education to improve operational efficiency and customer service. Coordinate and/or assist in preparing specifications, legal advertisements, formal bid invitations and correspondence for contracted services/goods to ensure compliance with federal, state and University purchasing procedures; Communicate with vendors, technical representatives, manufacturer representatives and sales representatives; and serve as a liaison between FPC&S and the Procurement Services Office to provide information and resolve procurement issues. Business Process Improvement initiatives serve as liaison between functional users and technical staff to provide analysis functions for the FPC&S Department to address the needs of AIM Work Management System end users identifying issues and proposing working solutions; Develop training materials, schedule and conduct individual or group training sessions as required; Provide leadership for AIM Business Process Improvement initiatives in FPC&S; Serves as primary P-Card Holder for Facilities, Planning, Construction & Safety to respond to emergency request and provide support for travel request as needed; Responsible for providing leadership for the management of the POM Warehouse; Securing materials, supplies, equipment and services to maintain appropriate inventory levels; Ensures that communications between the University community and FPC&S Departments are maintained; and ensures that service requests are documented and communicated to appropriate trades. Serve as Equipment Inventory Manager to ensure that property obtained by Facilities, Planning, Construction and Safety departments are properly tagged, inventoried and tracked through disposition; Assists in the preparation of FPC&S departmental budgets; Coordinates and maintains monthly status reports of FPC&S operational services; Responsible for providing financial and administrative analyses, consultation and guidance in support of purchasing decisions for Facilities, Planning, Construction and Safety departments; and responsible for assisting with department year end closing and providing data to University Controller’s Office for year-end financial statement preparation. Minimum Qualifications Bachelor’s degree in an appropriate area of specialization and four years of related experience; or master’s degree in an appropriate area of specialization and two years of related experience. Recommended Competencies Knowledge of and ability to interpret Facilities, Planning, Construction and Safety purchasing requests;
Knowledge of and ability to manage multiple maintenance contracts;
Knowledge of state purchasing and accounting policies and procedures;

Ability to develop and implement policies, procedures, goals and objectives;
Ability to establish and maintain effective working relationships;
Ability to evaluate quotes, proposals and bid documents; and,
Ability to prioritize, organize and perform multiple work assignments simultaneously. Preferred Qualifications Bachelor’s degree in Business Administration, Public Administration, Supply Chain Management; or Master’s degree in Business Administration, Public Administration, Supply Chain Management. Anticipated Salary Range The salary range is between $72,000 to $76,000 commensurate with relevant experience. Licenses and Certifications Must Maintain a Valid Driver’s License. Pay Plan This is an Administrative and Professional (A&P) position.
