Under the direction of the Libraries’ Building Facilities Coordinator, the individual is responsible for Library mail room operations, receiving & delivering mail & packages [av. 6400+ packages/year]; providing assistance in the maintenance of equipment, furnishings, and building systems for the University of Miami Libraries, including the Otto G. Richter Library, Weeks Music Library, Architecture Research Center, and Miami Lakes Off-Site Storage Facility; transporting collections, equipment, & personnel for off-site storage, donation pick-ups, and inter-campus deliveries. Moreover, the incumbent performs support functions in assigned areas to maintain an attractive, safe, secure, and functional condition of assigned facilities. This regular, full-time position works normal business hours, Monday through Friday, 8:30 am to 5:00pm, but subject to change as needed by the department. Incumbent is required to work one overnight shift during the Fall & Spring 24/7 Finals period.

ESSENTIAL DUTIES & RESPONSIBILITIES

Mail Performs daily trip to University post office using Library van to pick up and deliver mail & packages for all library units. Accepts all library deliveries of mail, packages, supplies, and equipment. Responsible for keeping detailed Excel records of all incoming deliveries; sorts and delivers to all departments and libraries. Monitor and report library van maintenance issues. Serves as a point of contact for freight and/or special deliveries and prepares loading dock as needed to receive large shipments. Monitors loading dock for parking and facilities issues. Transports library staff, collections, and library equipment to off-site storage using library van; may need to adjust van interior, such as removing seats, as necessary. Picks up distinctive collection library donations throughout South Florida, may directly coordinate pickup details/schedule with donors. Oversees mailroom student assistants with daily tasks. Contacts different vendors in case of lost or damaged packages. Ensures there is always someone present in the mailroom to receive deliveries. Facilities Daily monitors and patrols library building & grounds (including library stacks and study rooms) to maintain standards and tidiness. Reports any issues discovered during rounds; Creates and follows up with UM Facilities work orders for all UM Libraries as needed. Greets and directs vendors to library work sites while ensuring proper procedure is followed. Accompany vendors while work is performed in library alarmed spaces. Reports security risks or concerns immediately and assist with building emergencies. Assists Events team with physical room/furniture set-up and reset as needed. Frequently checks in with Building Facilities Manager on tasks performed and issues encountered. Assists in short and/or long-term Facilities projects. Adheres to University and unit-level policies and procedures and safeguards University assets. Access Services Provide Customer Service at the Circulation Desk for a minimum of four hours per week. Required to work one overnight shift during Library’s 24/7 finals week in Fall & Spring semesters. Communications, Relationships, and Service (ongoing) Maintains helpful and supportive customer service behavior with all library customers internal and external. In pursuit of the Libraries’ and University’s strategic objectives, models the University’s “DIRECCT” values (diversity, integrity, responsibility, excellence, compassion, creativity, and teamwork). Establishes effective and supportive interdepartmental relationships and participates in cross training opportunities to increase library and unit effectiveness and to effectively disseminate information. Communicates frequently and effectively with all University staff, faculty, and administrators in a timely manner regarding procedures, policies, and other necessary information. When possible, participates in committees and teams within and outside the Libraries to provide services to the Libraries, University, and the Community. This position reports to the Libraries’ Building Facilities Coordinator.

SUPERVISION GIVEN

This individual assists in the supervision of Library Facilities student assistants in the absence of the Facilities Manager.

LEVEL OF CONTACTS

The individual works with all levels of University and Library staff including faculty, administrators, staff, and students as well as alumni and community users. Within the library, this individual works with all levels of library faculty and staff as well as student employees. In all contacts, the incumbent is expected to be professional and courteous.

MINIMUM QUALIFICATIONS

High school diploma. Minimum of 1 year of relevant work experience OR 1 year of college OR a combination of both. Any relevant education, certifications and/or work experience may be considered. Must have valid driver’s license. Must be able to work with fragile materials that may produce moderate dust environment. Must be able to lift 30 pounds, push 50+ pounds, use step ladder, bend, and reach while on a step-stool. Ability to accurately and maintain records, files, reports, and correspondence. Experience using MS Office Suites, including Excel, Word and Outlook. Excellent organizational skills; Analytic and critical thinking skills. Aptitude for accuracy and detail. Ability to work cooperatively and productively with others. Ability to work independently and in a collaborative environment. Good oral and written English language communication skills Working knowledge of Spanish.
