POSITION SUMMARY
The Maintenance Manager is responsible for supervising a team of Maintenance Coordinators, coordinating repair and maintenance activities with owners, tenants, and vendors, and ensuring that the properties are safe, well-maintained, and in compliance with all applicable regulations. This position will involve strategic planning, improving operational efficiency, and fostering positive relationships with owners, tenants, and vendors.
ESSENTIAL FUNCTIONS
Explore opportunities to improve efficiency and reduce operations costs through sustainable maintenance practices. Hold direct reports accountable for adherence to all policies, procedures, and company standards Supervise and lead a department’s daily operations, assigning tasks and providing guidance Provide guidance, coaching, conduct regular performance evaluations, and implement training programs to enhance the team’s skills Coordinate and oversee repair and maintenance projects, including turnkey, plumbing, electrical, HVAC, and structural repairs Ensure timely response to owners, tenants, and vendors regarding maintenance requests and emergencies Obtain competitive quotes and negotiate contracts with vendors and contractors Recruit new vendors and maintain relationships with preferred vendors and contractors Monitor the performance of vendors and contractors to ensure quality work, timely service, and adherence to contractual agreements Maintain accurate records of maintenance activities, expenses, and inventory Create and monitor accurate records of maintenance activities and costs. Generate regular reports for senior management on maintenance performance. Qualifications Experience 3-5 years in residential property maintenance, facilities management, or a related field, with at least 2-3 years in a supervisory or managerial role. Experience communicating with property owners and tenants to explain repair needs, costs, and timelines for repairs. Proven track record of coordinating with third-party vendors for specialized repairs (e.g., HVAC contractors, Plumbers, Mold Remediation, Critter Removal). General Skills, Knowledge, and Ability Spirit of teamwork and collaboration In-depth understanding of residential building systems, including HVAC, plumbing, electrical, roofing, and appliances. Ability to work cross-functionally and across all levels of the organization Familiarity with diagnosing and resolving complex maintenance issues in single-family homes (e.g., mold remediation or major system failures). Ability to understand complex maintenance issues and communicate clearly, in a non-technical way, about necessary repairs with Homeowners. Self-starter with the ability to organize time effectively and prioritize tasks individually Excellent leadership and team management skills Budget management and financial acumen Knowledge of relevant regulations and safety standards Strong interpersonal skills and decision-making abilities Demonstrated ability to meet deadlines Exceptional and effective verbal and written communication skills Excellent problem-solving, listening, and reasoning skills Ability to identify and track leading indicators of your department’s performance and the ability to use those indicators to ensure your department continues to meet forecast performance objectives Ability to interpret data and/or instructions where only limited information exists Demonstrated ability to motivate and hold team members accountable while inspiring ownership of work Working knowledge of Property Management software is preferred
