Coordinator:

Maintenance & Scheduling , you will play a vital role in keeping maintenance operations running smoothly across a variety of properties. This position is less about technical repair skills and more about your ability to manage people, prioritize tasks, and maintain clear communication with team members and vendors. You’ll oversee the daily maintenance schedule, assign tasks, track progress, and follow up with vendors and internal teams to ensure everything gets done efficiently and on time. If you’re organized, proactive, and comfortable leading from the front—this role is for you. This is a Full-Time role, Monday-Friday with rotating “on call” weekends. Must have a valid driver’s license and reliable personal transportation.

Key Responsibilities:

Maintenance Coordination & Scheduling Plan and assign daily, weekly, and quarterly maintenance tasks to internal team members and third-party vendors based on urgency, availability, and workload. Ensure timely scheduling of inspections, repairs, and preventive maintenance to minimize downtime and disruptions. Monitor task progress and adjust schedules as needed for urgent or unforeseen issues. Use maintenance tracking systems to organize, prioritize, and communicate daily workflows. Team Oversight & Leadership Lead daily check-ins and briefings to align team priorities and address roadblocks. Provide direction, support, and follow-up to the maintenance team throughout the day. Help create a culture of accountability, clear communication, and proactive problem-solving. Vendor Management Coordinate with third-party contractors and service providers to complete scheduled and emergency maintenance tasks. Track vendor performance, timeliness, and quality of work to maintain a strong network of reliable providers. Ensure all vendor work meets company standards and follows internal processes. Preventive Maintenance & Inspections Assist in developing and executing a preventive maintenance calendar for HVAC, plumbing, electrical, and general property systems. Schedule and document quarterly property inspections to identify and resolve issues before they escalate. Maintain clear records of all completed maintenance and inspection tasks. Guest & Property Manager Support Communicate professionally and promptly with property managers and guest support teams regarding maintenance concerns. Provide timely updates and manage expectations for ongoing work or delays. Ensure minimal disruption to guest experience during repairs or inspections. System & Process Management Maintain accurate maintenance records and update internal systems with task statuses and documentation. Look for opportunities to improve efficiency, reduce delays, and enhance reporting and communication processes. Send morning schedules and evening recaps to management summarizing priorities, tasks completed, and adjustments needed. Collaboration & Availability Report directly to the Director of Area Operations and collaborate closely with the operations, communications, and leadership teams. Must be available for rotating weekend duty and occasional holiday support, especially during high-occupancy seasons.

Strong organizational and communication skills Reliable, proactive, and comfortable managing tasks and people Project coordination or team leadership experience preferred General maintenance knowledge is helpful, but not required—we’ll train Tech-savvy and comfortable learning scheduling and property management software Valid driver’s license and reliable transportation Flexible availability, including weekends and holidays Ability to lift up to 75 lbs., bend, and stretch as needed Ability to safely use maintenance tools and equipment
