OF MAINTENANCE

The Director of Maintenance serves as a key member of the leadership team at Newton Community Development Foundation (NCDF), overseeing the maintenance operations and capital improvement projects across all NCDF-owned and/or managed properties. This role is responsible for leading the Maintenance Department, supervising all NCDF maintenance staff members, managing administrative functions, ensuring the integrity and functionality of all building systems, and upholding operational excellence through proactive planning and efficient execution. The Director of Maintenance will report to the Executive Director. The ideal candidate will possess extensive hands-on experience and working knowledge of general maintenance, including plumbing, electrical, carpentry, and appliance repair. Strong interpersonal, written, and verbal communication skills, along with solid computer proficiency, are essential. Proven success and experience supervising a team is necessary. Familiarity with RealPage maintenance software is preferred. This is a full-time, 40-hour-per-week salaried position. Core responsibilities include, but are not limited to, the following: Administrative Responsibilities Assist with budget development, financial planning, and compliance oversight related to maintenance operations and capital projects. Implement an inventory control system and develop/manage maintenance policies and procedures. Maintain and regularly update the NCDF Emergency Handbook, ensuring timely distribution of new or revised materials as necessary Prepare and circulate a monthly Maintenance Calendar and annual On-Call Schedule. Solicit contractor proposals for maintenance and capital improvement projects not managed by architects or engineers and select contractors after evaluating proposals. Collaborate with architects, engineers and contractors on major capital projects. Review emergency on-call logs monthly for accuracy and completeness. Provide a monthly status report on major projects. Draft and distribute annual memos regarding snow removal and landscaping responsibilities. Maintenance Operations Hire, onboard and train new maintenance staff and coordinate further training for Live-In Property Caretakers. Conduct monthly site visits with maintenance staff at each property to review operations, walk property and grounds, and review the status of work orders and projects, discuss upcoming projects and any need for support and/or guidance. Involve Property Managers and/or Director of Property Management when necessary. As needed, but not less than quarterly, coordinate and facilitate meetings/trainings with the maintenance team. Provide temporary maintenance support during staff absences, including completing work orders and preventive maintenance tasks. Support preparation efforts for NSPIRE inspections and Asset Management Reviews. Oversee all capital projects and serve as the liaison between contractors and on-site staff, ensuring ongoing communication and inclusion in decision-making. Conduct risk assessments and implement corrective measures related to safety and security. Respond to major maintenance emergencies and coordinate on-site support. Assist Property Managers and Maintenance Superintendents in supervising external contractors as needed. On-Call Coordination Manage daytime emergency calls (

Mon-Thurs:

8am – 4:30pm;

Fri:

8am – 5pm) and dispatch calls to the appropriate Maintenance Superintendent. Ensure on-site team members are informed of any emergency dispatches via email for tracking purposes. Coordinate weekly transitions of the emergency on-call phone to maintenance and live-in staff according to the rotating schedule. Maintain availability outside of vacation time for response and support to serious emergency issues. Snow Removal Coordination In advance of snow season, confirm that all snow removal equipment is functional and staff are properly outfitted. Order and coordinate delivery of ice melt for all properties. Act as the primary liaison with snow removal contractors to coordinate plowing, sanding, and communication with staff through One-Call Now messaging. Support snow and ice removal on-site as necessary. Additional Responsibilities Meet bi-monthly with the Executive Director and carry out assigned special projects. Manage the annual procurement of maintenance staff uniforms. Coordinate biennial CPR/First Aid certification for all staff; ensure first aid kits and AED units are fully stocked and maintained. Facilitate and document performance evaluations for all maintenance personnel in collaboration with Property Managers. Ensure all maintenance staff complete at least one Fair Housing training session annually. Represent NCDF at MassHousing’s annual MBE/WBE Trade Fair. Qualifications and Requirements Demonstrated ability to work effectively with individuals from diverse backgrounds. Proven ability to manage and lead a team. Skilled in both written and verbal communication skills. Strong analytical, negotiation, critical thinking, and quantitative skills. Project management experience. Maintain current professional licenses and actively engage in ongoing training and development opportunities. Physical ability to lift 75 pounds. In-depth knowledge of the Massachusetts State Sanitary Code, OSHA standards, and affordable housing regulations. Ability to travel to and between property sites.
