Position Overview:
The Maintenance Supervisor is responsible for overseeing maintenance operations, managing vendor relationships, and ensuring the upkeep of Villa Capriani’s common areas and amenities. This role involves performing and supervising maintenance tasks, implementing preventive maintenance schedules, and assisting in capital project planning. The ideal candidate is self-motivated, detail-oriented, and skilled in property maintenance, with experience in vendor management and compliance with safety regulations. Availability for after-hours emergencies is required.
Key Responsibilities:
Maintenance & Repairs:
Perform and oversee maintenance tasks, including painting, and handyman work (Use of a step ladder up to 8 feet only) Conduct routine inspections to identify and resolve maintenance issues proactively. Develop and implement preventive maintenance plans for community assets. Perform routine pool maintenance and cleaning (CPO Certification required). Maintain and organize the maintenance office and inventory. Ensure facilities are clean, safe, and in excellent working condition. Unclog drains and replace light bulbs (no additional plumbing or electrical repairs should be performed). Assist with emergency maintenance and respond to after-hours calls. Ensure the lobby is opened daily and cleanliness of the lobby is maintained.
Project Management & Vendor Oversight:
Maintain the community’s preferred vendor list and oversee vendor compliance. Assist with vendor selection, contract management, and supervision of vendor work. Support the Onsite Community Manager in planning and overseeing capital projects and insurance claims. Track vendor performance and provide recommendations to the Community Manager. Facilitate vendor compliance with certificates of insurance and W-9 requirements. Manage and document insurance loss reports, including photographing damage and reporting claims. Provide regular updates on all community projects using the online project management system. Manage, oversee, and communicate necessary updates to Homeowners on active Work Orders. Interact with residence, guests, vendors, and staff in a professional and courteous manner.
Compliance & Safety:
Ensure compliance with OSHA, HOA, and state safety regulations. Conduct regular fire safety checks and emergency preparedness assessments. Maintain records of all maintenance work, inspections, and repairs. Manage schedules for required annual inspections and preventive maintenance tasks. Develop disaster preparedness plans and manage crisis response efforts.
Qualifications:
5+ years of maintenance experience, preferably in an HOA, hospitality, or residential setting. Strong knowledge of HVAC, plumbing, electrical systems, and general building maintenance. Experience in facilities management, project management, and vendor coordination. Excellent leadership, communication, and problem-solving skills. Ability to multitask, prioritize, and work independently or as part of a team. Preferred Certification – CPO (Certified Pool Operator) Physical ability to lift 30+ pounds, climb ladders, and work outdoors. Availability for emergency response and flexible scheduling.
