Job Description

Internal Moves & Space Planning Coordinator Based on site with our client Role Overview The primary responsibility of this role is to coordinate all internal moves-both large-scale and day-to-day (including out-of-hours and business-as-usual relocations)-across our client’s portfolio. This includes managing any unbudgeted spend and ensuring that all moves are carefully planned, developed, and executed to meet business needs. You will be responsible for ensuring all move requests contain the necessary information, are logged and scheduled appropriately, and that all supporting corporate functions are aligned to ensure smooth execution. Main Responsibilities Support all move projects, decants, restacks, and furniture upgrades within the client portfolio Provide CAD support and moves assistance for internal office relocations Deliver space planning solutions for team reconfigurations Work closely with the client to provide accurate CAD drawings and space planning proposals in line with legislative requirements (e.g., FIRE, DDA) and the client’s global corporate standards Maintain and update the CAD library, ensuring all moves, new starters, and changes are properly recorded Advise on furniture selection (new and stored), considering build quality and functional suitability Maintain an up-to-date asset list and furniture inventory Deliver all projects/moves on time, within budget, and to a high standard while minimizing disruption and ensuring compliance with relevant legislation Provide guidance and insights to the client on space utilisation and churn projects Conduct effective space planning and produce timely, accurate drawings in response to client requests Maintain all master CAD drawings and associated databases in line with agreed best practices Coordinate stakeholders and works to ensure project delivery meets specifications and cost expectations Manage CAD and CAFM database systems to ensure maximum efficiency and availability Implement and uphold processes to ensure data accuracy in CAD outputs Maintain data backups, retrieval systems, and archives for asset information and drawings Visit client sites as needed to ensure project quality and progress Deliver exemplary customer service, ensuring that performance meets and exceeds expectations Continuously review and improve working methods and processes to support reliable data delivery to the project manager Carry out feasibility studies for proposed projects and gain principal scheme approval Gather and communicate FM and IT requirements from stakeholders to the project team Schedule and approve transfer requests, ensuring service streams are notified and records are maintained Foster strong working relationships with our client and their stakeholders Promote and support collaborative teamwork across the client and supply partner teams About You The ideal candidate will have: HND or equivalent qualification in construction, building services, property, or facilities management Certification in AutoCAD (intermediate to advanced level) Membership of BIFM, CIOB, RICS, or a similar professional body Prior experience in a similar move/space planning role Strong organisational skills and the ability to manage multiple projects under pressure A solid understanding of refurbishment and fit-out projects, including technical requirements and how move management integrates into larger projects Experience managing move budgets of up to £100k for large-scale fit-outs High IT literacy, with expertise in AutoCAD and MS Office Familiarity with other CAFM systems Experience with tools such as Oracle, Proactis, or Archibus
